Ensign Services, Inc. is seeking a Full-Time Contracts Administrator to work in its San Juan Capistrano, California Service Center, we are not offering relocation as an option.
About the Company
ESI currently serves over 200 health care operations including assisted living facilities, skilled nursing facilities, home health and hospice agencies and other ancillary service providers. These operations have no corporate headquarters or traditional management hierarchy. Instead, they operate independently with support from the "Service Center," a world-class service team that provides the centralized legal, human resource, training, accounting, IT and other resources necessary to allow on-site leaders and caregivers to focus on day-to-day care and business issues in their facilities and operations.
As a Contract Administrator, you will be responsible for a variety of things including: process, analyze, review, and negotiate a high volume of contract requests from various clients, internal Service Center and other client-affiliated business ventures. Act as a liaison between Contracts and Legal/Compliance regarding basic contractual rights, obligations and compliance issues. Assists in maintaining internal contract processes and procedures. Responsible for determining appropriate contracts based on a request and determining next steps in the review process. Prepare amendments, addendum and contract extension documents. Process requests for termination of contracts and prepare termination letters. Engage and work with outside counsel on various contract issues and template changes. Assist with real estate acquisition contract preparation which includes weekly telephone meetings, working with GPO to arrange contracts and maintaining spreadsheets. Assist in maintaining the contract management software and database information such as vendor data entry, setting reminders, running reports and keeping facility information up to date.
What You Will Do
Continuous Improvement & Negotiations:
You will maintain all contracts in compliance with internal processes.
You will also maintain records, prepare forms, verify information and resolve routine problems.
Participate in the maintenance of computerized files for future reference.
Participate in contract preparation
Assist in maintaining the file systems for document types such as master documents, project documents and notifications.
Monitor all contracts through the process and initiate all follow up communications.
Review contract requests and decide the appropriate document set required for each specific request.
What You Need
High school diploma or State-issued equivalency certificate
Bachelor's degree plus 2 years of experience reviewing contracts, contract administration or engaging in the work of a Paralegal reflecting increasing levels of responsibility; or if no degree 5 years of experience reviewing contracts, contract administration reflecting increasing levels of responsibility.
Uses discretion with confidential information.
Computer skill requirements include: intermediate MS Word, Excel, Outlook and easily adaptable to other in-house software applications.
