This position is responsible for all enterprise-wide, off-site meeting logistics and contracting; participating in the sourcing process by partnering with users to define specifications and requirements; conducting internal and external data analysis, and providing recommendations based on analysis; tracking and running enterprise meeting analytics in an effort to identify process improvements and cost saving opportunities.

JOB REQUIREMENTS: College degree in Business or Finance with 3 years analytical experience. 4 years of experience in corporate meeting planning of various sizes.

Experience with conducting wide-ranging research. Experience with Cvent (meeting management tool) Analytical skills to support and enhance contracting strategy and goals. Ability to function in ambiguous and/or time-sensitive situations.

Interpersonal skills, especially in interviewing and meeting with key resource buyers and users. PC proficiency to include Word, Excel, PowerPoint and Lotus Notes. Verbal and written communication skills.

Knowledge of travel industry and associated pricing. Knowledge and skills to participate and be effective in contract negotiations with industry suppliers.

We are currently seeking a Meetings and Special Events Planner for the Meetings and Travel Services department in our Chicago office. Purpose The Meetings and Special Events Planner's purpose is to plan, support, develop, implement and execute all American Hospital Association (AHA) assigned meetings and events such as: Board, Regional Policy Board (RPB), Council and Committee meetings. Responsible for sourcing and contracting 50+ small meetings a year. Ensures expenses are in line with budgets for events. Essential Functions * Plans and executes meeting arrangements and housing needs for all assigned meetings and special events. * Conducts research and sources venues to provide cost-effective and high quality options. * Negotiates and executes contracts directly with hotels for 50+ meetings annually for internal partners. * Responsible for pre-meeting logistics including housing, meeting room set-ups, food and beverage function sheets and audiovisual requirements to meeting site staff. Will provide support to other special logistics related to amenities, transportation and/or special reservations, as needed. * Provides onsite event support with onsite logistics, as needed. * Adheres to meeting and event budgets, prepares and submits master billing and reconciles and processes event invoices for all assigned meetings and events. * Establishes and maintains relationships with hotel partners and their national sales offices as well as team members and other AHA departments. * Coordinates the process for booking reservations and managing payment for some transient travel for internal groups. * Performs other duties as assigned by supervisor. * Experience with developing and implementing meeting planning strategies is required. * Experience with sourcing and contract negotiations is preferred. * Certified Meeting Professional (CMP) certification is a plus; Association (membership organization) experience is a plus. * Attention to detail, problem solving, negotiation and time management skills are required. * Knowledge Requirements: Meeting planning; budgeting; knowledge of contracts and event protocol. * Technical Requirements: Intermediate computer skills and with Microsoft Office (Word, Excel and PowerPoint) are required. Experience conducting research via the Internet is required. * Abilities Required: Ability to learn new technology; ability to handle multiple tasks and meet deadlines; to work independently as well as within a team; to communicate effectively with executive level management; to maintain poise when facing difficult situations and ability to negotiate with others. Ability to edit and proofread materials. * Office environment with less than 10% travel.
