BASIC FUNCTION:

This position is responsible for all enterprise-wide, off-site meeting logistics and contracting; participating in the sourcing process by partnering with users to define specifications and requirements; conducting internal and external data analysis, and providing recommendations based on analysis; tracking and running enterprise meeting analytics in an effort to identify process improvements and cost saving opportunities.

JOB REQUIREMENTS: College degree in Business or Finance with 3 years analytical experience. 4 years of experience in corporate meeting planning of various sizes.

Experience with conducting wide-ranging research. Experience with Cvent (meeting management tool) Analytical skills to support and enhance contracting strategy and goals. Ability to function in ambiguous and/or time-sensitive situations.

Interpersonal skills, especially in interviewing and meeting with key resource buyers and users. PC proficiency to include Word, Excel, PowerPoint and Lotus Notes. Verbal and written communication skills.

Knowledge of travel industry and associated pricing. Knowledge and skills to participate and be effective in contract negotiations with industry suppliers.

Summary: Manages all aspects of logistical requirements for assigned small to mid-sized ACS and AM Client meetings, including research, recommendation of venues, contract negotiation including hotels and vendors, pre-planning, on-site execution when required and post event reporting. Ensures critical deadline and budgetary guidelines are adhered to as well as response, service, and quality expectations are met. Develops and maintains reports. Handles other special projects as assigned. This Exempt position will report to the Senior Manager, Meeting Services in the Division of Convention and Meetings. Primary Responsibilities: * Management of logistical requirements of small to mid-sized meetings and programs through the research, recommendation and negotiation of venues and service vendors: venue and vendor contract negotiation; determination and preparation of meeting requirements through communication with staff liaisons and Fellows; management of all meeting details to include housing, audio/visual, food and beverage and other requirements; on-site execution and meeting evaluation and analysis. Counsels and provides expert opinion on all logistical and other matters pertaining to meetings management throughout the planning process. * Provides advance meeting support and on-site coordination when required for largest ACS and AM meetings to include management of ancillary events, social and off-site functions, signage, security and temporary staffing. Analyzes and determines needs for managed areas, prepares RFPs, reviews proposals, negotiates contracts. Prepares specifications and evaluates service provided. * Responsible for financial management of specific meeting functions, evaluation of contract liability to ACS through cancellation penalties, attrition clauses and other potential liabilities. Provides budget information for meeting service areas to other departments and adherence to those budget parameters. Handles review, coding, approval and expense analysis of invoices for all program areas handled within the position. Creates annual productivity and meeting expense reports. * Contributes to an environment of continual performance improvement through active participation is staff and team meetings, training courses and outside learning opportunities. Creates and maintains written and organizational processes and procedures for projects and activities handled within the position. Investigates ways to improve productivity and efficiency including reporting methods and review of available technology applications. * Other duties as assigned Requirements Required Education and/or Experience: * Bachelor's degree from an accredited college or university preferred. * 3-5+ years of events management or meeting planning experience preferred. * Certified Meeting Planner (CMP) preferred. * Excellent communication skills (verbal and written) necessary to effectively interact with all levels of organization. * Interpersonal, organizational, and negotiation skills. * Must be able to multi-task. * Strong working knowledge of Microsoft Office Products (Outlook, Word, Excel, and PowerPoint). * Display high level of energy and thrive in a fast-paced environment. * Self-motivated and able to work independently and as a member of a team. * Ability to plan and prioritize workload and meet deadlines. * Ability to establish strong working relationships with all division teams and management. Fiscal Management: This position is required to provide staff support to the supervisor in the development of the unit's annual budget, program or project budget. Physical/Work Environment: Fast paced with significant people interaction. No lifting over 20 pounds, minimal reaching bending and stooping. Performs work in a normal office environment with long hours in front of the computer. Other Necessary Requirements: Occasional evening or weekend duties may be required. Moderate travel quarterly for activities such as out of town meetings is required.
