The Contracting and Acquisitions Agent job family consists of four levels which are distinguished by the level of complexity of specific job assignments, the extent of responsibility assigned for a specific task, the level of expertise required for the completion of assigned tasks, and the responsibility assigned for the supervision of others.

This is the specialist level of this job family where employees are assigned independent responsibilities involving the acquisition of goods and services for an institution or agency. This may include responsibility for completing all related actions concerning competitive bidding or negotiation; for evaluation of proposals; for analyses of products; for disapproval or termination of contracts; and for insuring compliance with all legal and regulatory requirements concerning contracting and purchasing.

MINIMUM QUALIFICATIONS

Level III:

Requirements at this level consist of three years technical clerical work plus two (2) years of qualifying contracting and purchasing experience; or an equivalent combination of education and experience, substituting 30 semester hours for each required year of technical clerical work plus two (2) years of qualifying contracting and purchasing experience.

Experience should include the following procedures: sending out invitations to bid and making telephone bids, evaluating bids or telephone price quotes, awarding contracts and/or issuing purchase orders, working with users and understanding their needs and requirements and assuming the responsibility for the correct evaluation and determination of bids and proposals.

CONTRACTING/ACQUISITIONS AGENT III

The Oklahoma Department of Mental Health and Substance Abuse Services (ODMHSAS) is responsible for providing services to Oklahomans who are affected by mental illness and substance abuse. Griffin Memorial Hospital (GMH) is located in Norman, Oklahoma, and serves all 77 counties in Oklahoma as the Department of Mental Health and Substance Abuse Services (ODMHSAS) treatment center for adults. GMH provides community crisis stabilization and residential treatment for substance abuse and co-occurring mental health and trauma related conditions.

Responsibilities:

The Contracting and Acquisitions Agent is assigned responsibilities involving the acquisition of goods and services for Griffin Memorial Hospital. Incumbent drafts and reviews specifications developed by other departments and determines method of acquisition. Highly proficient in Microsoft Excel, the incumbent maintains bidder lists, product, services and supplier information, and acquisition records. Conducts bidder conferences and bid openings; tabulates and evaluates bids; recommends awards; and mitigates disputes. Performs contract administration, including but not limited to, monitoring contractor compliance with contract specifications; monitoring contract expenditures, reviewing claims, and ensuring timely submission reports. This is the specialist level of this job family where employees are assigned independent responsibilities involving the acquisition of goods and services for an institution or agency. This may include responsibility for completing all related actions concerning competitive bidding or negotiation; for evaluation of proposals; for analyses of products; for disapproval or termination of contracts; and for insuring compliance with all legal and regulatory requirements concerning contracting and purchasing.

Job Type/Salary:

Full-time, Monday

  • Friday from 8:00 a.m. to 5:00 p.m. at $41,218.39 annually.

POSITION INFORMATION: Coordinates surgery schedules of patients in an outpatient clinic and provides clerical assistance toward the smooth operation of the facility. REPRESENTATIVE DUTIES: * Scheduling * Schedules patient appointments, either by telephone or in person. * Provides information about clinic operation. * Obtains patient demographics on new patients and updates demographics on established patients. * Answers telephone calls and distributes to the appropriate people. * Prepares and enters healthcare providers' schedules into the computer. * Coordinates schedules as directed to patient requiring multiple services. * Check In/Check Out * Greets patients as they come into the clinic for scheduled appointments. * Accepts payments and writes receipts. * Totals encounter forms and inspects the form for completeness and accuracy. * Codes procedures and diagnoses. * Ensures the resident and faculty signatures are on the encounter form and chart. * Copies insurance cards and distributes to the appropriate people. * Prepares encounter forms and billing packets for patients to be seen. * May prepare and type daily deposits. * Balances and closes cash box daily. * Prepares ancillary forms for other services (i.e. x-rays, vascular studies, etc.). * Prints and faxes physician schedules to offices. * Filing and Organization * Pulls patient charts for appointments or to file lab, x-ray, hospital information or other information into the chart. * Copies medical records for patients and other providers or facilities. * Files patient charts. * Prepares inactive patient charts for storage. Maintains log of charts in storage. * Secures charts that have been sent to storage that are needed in the clinic. * Replaces torn charts with new covers. * Makes up new patient charts and/or packets of information. * Prepares new patient inserts for charts. * Requests medical records from other facilities. * Referrals and Authorizations * Talks to patients about financial accounts. * Verifies insurance eligibility and primary care physicians for patients. * Secures referrals to other providers for HMO patients. * Secures referrals from PCP's for HMO patients to be seen in the clinic. * Collects and verifies proof of income in order to determine what sliding scale discount is appropriate, if any. * Miscellaneous * Dispenses supplies as needed. * Notifies appropriate person when supplies are low and need to be reordered. * Types notes and letters for physicians as needed. * Makes immunization cards as needed. * Logs mail receipts according to University policy. * Sorts and distributes mail. * All Areas * Communicates with patients of all ages in a professional manner at all times. * Communicates with co-workers and employees in a manner which promotes a highly "team oriented" approach. * Enhances professional growth and development through in-service meetings and education programs. * Maintains patient confidentiality. * Performs related work as required.
