WSP is currently initiating a search for a Full-Time Contract Support Specialist for our Client's Jersy City, NJ office. Be involved in projects with our PMCM Team and be a part of a growing organization that meets our client's objectives and solves their challenges.

Your Impact

  • Provide assistance to PANYNJ Project Manager / or designee as directed

  • Coordinate with staff.

  • Looking for an organized, highly motivated individual, capable of completing assignments with little to no supervision.

  • Under the general supervision of the Engineering Financial Services-Engineering Department or designee, performs support duties of a diverse nature requiring some independent analysis, exercise of judgment in task execution, and detailed knowledge of company procedures related to the work performed.

  • Track consultant invoices through the process and file agreement-related documentation in Content Management.

  • Call references to confirm work performed/provide rating

  • Track all subcontractors under the contract, i.e. approved, rejected, processing etc.

  • Performing desk audits of contractor billings for completeness.

  • Duties may consist of posting information to logs; maintaining databases, spreadsheets, records and filing systems; monitoring project records and documents using construction management software; making follow up calls and appointments; communicating by phone, email, monitoring inventory; and coordinating processes.

  • Other duties as assigned.

Who You Are

Required Qualifications

  • Minimum of 5 years of administrative experience to include Engineering or Construction and some accounting experience.

  • High School Diploma.

  • Proficient in basic mathematics

  • Familiar with construction and construction management terms and is proficient in data entry.

  • Ability to communicate effectively both orally and written.

  • Verbal communication includes contract staff, Resident Engineer, facility staff and outside contractors.

  • Experience in contract administration.

  • Demonstrated ability in: Preparing and/or reviewing payment applications.

Microsoft Outlook, MS Word, MS Excel, MS PowerPoint, PRIMAVERA, EXPEDITION, Wintrak.

  • Will be trained for inputting information into PA programs. Construction audit or bookkeeping administration experience helpful.

  • Demonstrate ability to exercise responsible and ethical decision-making regarding company funds, resources, and conduct.

  • Proven ability to adhere to WSP's Code of Conduct and related policies and procedures.

  • Proven track record of upholding workplace safety and ability to abide by WSP's health, safety and rug/alcohol and harassment policies

  • This role is subject to a client mandated drug/alcohol testing policy. As such, employee may be subject to random drug/alcohol tests. A copy of the client mandated drug/alcohol testing policy will be provided during employee onboarding and is available upon applicant request. "

  • This hire will be contingent upon client selection and successful background check.

Compensation:

Expected Salary (all locations): $47,500 - $91,200

WSP USA is providing the compensation range that the company in good faith believes it might pay and offer for this position, based on the successful applicant's education, experience, knowledge, skills, abilities in addition to internal equity and specific geographic location. WSP USA reserves the right to ultimately pay more or less than the posted range and offer additional benefits and other compensation, depending on circumstances not related to an applicant's sex or other status protected by local, state, and/or federal law.
