World Travel Holdings is seeking a Contracts Admin for the Fort Lauderdale, FL office. The Contracts Admin is responsible for the general administration of the Cruise One franchise system and the Cruise Inc. agent membership program for the Homebased Division of World Travel Holdings.

Responsibilities

  • Process agent profile updates in Business Center.

  • When payment and contracts are received, verify all information is correct. Submit payment information to Finance for processing.

  • Submit background checks to universalbackground.com for new owners and agents and follow up as needed.

  • Process paperwork, payments and entries (SUGAR CRM, Business Center, Exact Target) for online training of associates, expert CONE and CINC agents;.

  • Prior to class training, follow up with FDS to ensure the CONE and CINC trainees' documents and phone numbers/e-mail addresses are submitted to appropriate departments for processing.

  • Generate and print contracts for Senior Vice President Signature.

  • Run gross sales reports; generate 5 year and annual renewal letters.

  • Prepare and submit non-compliance and termination letters/faxes.

  • Process new documents for generic and registered states as they are renewed and received from the attorney.

  • Assist the training department by maintaining training class check list for CONE/CINC.

  • Process commission payments for CruiseOne and Cruises Inc.

  • Preview analysis of payroll reports, update ADP software, and generate reports for commissions.

  • Complete all processes for commission payments including ADP entries.

  • Complete audit of terminated agents by reviewing compensation status and open balance to determine if the agent owes any commissions.

  • Provide Finance with all franchise units that have their commission total as negative.

  • Process Shore Excursion Group commission.

  • Process adjustments to reverse Co-op funds

  • Run World Choice commission.

  • Assist Agents with ADP I-pay issues and respond to commission inquiries

  • Review Outstanding Balances and Unresolved reports

  • Process Year End Payroll and 1099's.

Qualifications

  • Bachelors Degree required plus 3 years experience in an administrative role.

  • Excellent written and oral communication skills.

  • Proficient in Microsoft Office- Word, Excel, Outlook, PowerPoint and the Internet.

  • Ability to work independently, prioritize assignments, multi-task and be able to shift priorities quickly in a fast paced work environment is required.

  • Must have exceptional follow up and excellent organizational skills.

  • Ability to work effectively with all levels of management.

  • 2 years previous travel industry experience- Cruise sales

VIEW JOBS 8/12/2019 12:00:00 AM 2019-11-10T00:00 GENERAL DESCRIPTION OF POSITION The Sr Commercial Real Estate (CRE) Construction Loan Administrator is responsible for assisting the CRE Construction Manager in leading and mentoring CRE Construction Loan Administrators. They will work with the team to ensure loan portfolio assignments are handled by the appropriate CRE Loan Administrator, including: construction loan processing, pre- and post-closing file review, loan documentation tracking, and daily transaction verifications. They will also provide guidance and assistance in resolving complex problems of the CRE Construction Loan Admin Team. They are also responsible for handling loan administration for an assigned CRE construction loan portfolio. ESSENTIAL DUTIES AND RESPONSIBILITIES 1. Delegate and monitor tasks, assignments, production and attendance of CRE Construction Loan Administrators in collaboration with the CRE Construction Manager. 2. Coordinate and communicate with CRE Construction Manager to assign loans to CRE Construction Specialists. 3. Assist in daily supervision of the CRE Construction Loan Administration team at the Ft. Lauderdale location to coordinate staff schedules, parking, and office access with oversight from the CRE Construction Manager. 4. Obtain, coordinate, review, and track all documentation from the borrower and third party vendors. This includes front end project analyses, inspections, draw request processing, budget oversight, monthly loan payments and contractual required documentation. 5. Regularly review, analyze, and process draw requests, budget reallocations, review progress inspection reports, and coordinate funding with internal departments. 6. Assemble and maintain construction loan documentation and files, collaborating with CRE Construction Specialists to ensure compliance with institutional and regulatory policies and procedures. 7. Monitor loan payments, tax payments, insurance policies, vendor invoices, and lien process to ensure proper and timely payment. 8. Review commitment letters, underwriting files, escrow analysis, closing statements, loan agreements, and pre and post-closing documents for accuracy. 9. Identify critical risks through careful analysis of submitted documentation through construction completion. 10. Prepare and distribute appropriate funds control and disbursement packages from vendors accords to applicable interdepartmental procedures. 11. Facilitate requests from loan officers, vendors, and project participants regarding status and schedule of all processes and site visits. 12. Responsible for all project file maintenance, including loan documentation management, imaging, and reporting. 13. Utilize reports to monitor and update project status in bank systems. 14. Participate in department wide events, projects, and initiatives as assigned. 15. Serve as back-up for CRE Construction Manager. 16. Provide exception approvals to CRE Construction Loan Admin I & II based on project request including legal requirements and risk tolerance. 17. The ability to work in a constant state of alertness and in a safe manner. 18. Complete required BSA/AML training and other compliance training as assigned. 19. Perform any other related duties as required or assigned.
