Associate degree from an accredited college, or a minimum of sixty (60) college credit hours; thirty (30) of the required sixty (60) credit hours may be substituted with two (2) years directly related work experience; or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job.

Preferred Education/Training/Experience

Bachelor's degree from an accredited college in Business, Finance, Education, or related field.

Minimum Knowledge & Skills

  • Maintain confidentiality of student records in compliance with the Family Educational Rights and Privacy Act.

  • Maintain CE database of courses.

  • Excellent oral, written, and interpersonal communication skills with proven ability to display empathy and positive regard for others.

  • Demonstrate organizational skills in handling and directing multiple and complex assignments and projects.

  • Ability to work independently according to established schedules and complete assignments and projects, as defined timelines.

  • Skills in working effectively in a team environment with a customer service focus.

  • Ability to handle sensitive and extensive confidential data.

  • Assist in verification of state reporting requirements via WECM inventory.

  • Proficient in the use of e-mail, word processing, spreadsheet, database, and presentation software and use of the Internet to access data, maintain records, generate reports, and communicate with others.

  • General office purchasing and invoicing.

  • Ability to quickly switch from one duty to another.

  • Ability to provide accurate information to customers.

  • Ability to reconcile financial data.

  • Experience with Microsoft Office suite.

Preferred Knowledge & Skills

  • Experience with an educationally-based relational database.

  • Bilingual in English-Spanish.

  • Capable of a high level of independent judgment and critical analysis.

  • Ability to work under pressure with multiple interruptions to meet deadlines.

  • Accounting proficiency for billing, Journal entries, and liaising with the Bursar and Business Office

  • Two (2) years of experience in customer service, records, financial reconciliation, and essential program advising.

Job Duties

  • Assist students with non-credit registration by entering biographical/demographic information and course requests.

  • Perform add/drops, withdrawals, and grade changes as required.

  • Process registration or schedule changes as applicable

  • Verify reports, files, enrollment status, records, and registrations within FERPA guidelines and prepare semester grade transcripts.

  • Process enrollment and course/program verification received from the National Student Clearinghouse.

  • Enter new and repeating courses into the registration system.

  • Complete duties and responsibilities in compliance with college standards, policies, and guidelines.

  • Use interpersonal skills and make sound judgments to decide how duties and responsibilities are completed between coworkers, the supervisory chain, faculty, staff, students, and customers.

  • Work with multiple pay sources to include grants, credit cards, purchase orders, waivers, exemptions, and Texas Workforce vouchers.

  • Other related duties as required.

Physical Requirements

Positions in this class typically require stooping, crouching, reaching, standing, walking, fingering, talking, hearing, seeing, and repetitive motions.

Sedentary Work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.
