Provide advanced technical level administrative support to the Ellicott City B&O Railroad Station Museum within the Natural and Historic Resources Division in the areas of data processing, customer service, program statistics, financial reports, and accounting functions.

There will be supervisory responsibility, under general supervision from an administrative or technical superior. Work typically involves administrative support work, technical tasks, and secretarial work. May apply bookkeeping, accounting, and data processing principles to accounting and financial record keeping and reporting systems at the advanced technical level. Work at this level may also include independent responsibility for a significant administrative or clerical process.

  • Works and cooperates with co-workers and supervisors at all levels. Maintains accurate B&O Museum program information in ActiveNet.

  • Learns and performs all essential job functions accurately processes registrations via telephone, walk-in, email, and mail.

  • Submits B&O programs and events for the seasonal brochure, supervises, directs, oversees, and evaluates work contingent B&O staff and volunteers.

  • Manages and provides leadership to museum staff and volunteers who are creating and implementing new interpretive material and programming for the museum.

  • Ensures that records and museum research are authentic and validated for historical content, provenance, and credit acknowledgements.

  • Contributes to exhibition development and collections management to support Ellicott City Historic Sites Manager.

  • Facilitates team daily tasks, including tracking and communicating status of content and information workstreams, coordinating day-to-day related activities, and relaying issues that may require adjustments.

  • Compiles data to create monthly and seasonal reports.

  • Provides customer service to both the internal and external clients.

  • Maintains museum event calendar and museum staff hours calendar.

  • Assists with interviewing, supervising, training, planning, assigning, and directing work of the contingent staff, docents, and volunteers.

  • Oversees and resolves complex maintenance tasks, inspects work in progress, approves completed work and enforces safety regulations and procedures.

  • Museum store management including purchasing, product research, vendor contacts and maintaining product inventory. Creates sales promotions, transitions seasonal products, product displays and demonstrations when needed.

  • Reconciles and verifies daily and weekly deposits, sending reports to finance. Museum contact for Dunbar for deposit pick-ups. Verifies revenue for museum account in SAP and reports discrepancies to supervisor and finance.

  • Completes fiscal and financial reports as required.

  •  Creates, revises, and conducts drills for lost child procedures and emergency evacuation procedures. Works toward securing safety and security of patrons and staff.

  • Handles customer inquiries and concerns.

  • Responsible for meeting with contractors and overseeing their quality of work.

  • Supervision of rentals and use of the building by individual renters, community and nonprofit organizations and other external/internal user groups.

  • Coordinates program promotion and outreach through community calendars for local newspapers and magazines.

  • Assists with developing marketing strategies for programs, and events. Program promotion through creation of program posters to be posted on Facebook, other forms of social media, and throughout the facility. Coordinates with Marketing to create program flyers and handouts.

  • Manages office operations, obtaining programming supplies for staff and volunteers.

  • Maintains staff personnel files and information for the Ellicott City Historic Sites Manager (employee inventory, trainings, evaluations, emergency contacts, etc.) Works regular weekday, weekend, and evening hours. Provides on-call assistance for evening, weekend and holiday event, programs, and general facility operations provides input for budget development, long-range planning, scheduling, and staffing.

  • Administrative duties include reviewing, editing, and completing incident reports, timesheets, department requisitions, conducts interviews and recommends hiring of staff, evaluations, trainings, counselling, and disciplinary actions.

  • Responsible for identifying and applying good sustainability practices into all aspects of Department operations.

  • Works cooperatively with all divisions in the Department, County agencies and outside agencies.

  • Serves on committees as assigned.

SUPERVISORY RESPONSIBILITIES:

This position supervises contingent staff and volunteers. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.Two (2) years working in museum management and coordination, historical research and content development, programmatic administration, or similarly applicable field of experience.

PREFERRED EDUCATION/EXPERIENCE:

Bachelor's Degree in History, Museum Studies, or a related field. Knowledge of and ability to interpret post-Revolutionary US history, with a focus on economic and transportation history. Basic computer skill plus proficiency in Microsoft Word, Excel, PowerPoint.

Must also be proficient in public relations skills, accounting procedures and effective data entry abilities. Ability to research, organize and present historical information to the public.

LANGUAGE SKILLS:

Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to write speeches and articles for publication that conform to prescribed style and format. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

MATHEMATICAL SKILLS:

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry. Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.

REASONING ABILITY:

Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
