Job Title: Business Information Access Management Administrator

Business Information & Analytics (BIA) Vendor Management (VM) team in Morgan Stanley is responsible for overseeing the provision of business information content to users within the organization. This includes management of global vendor contracts to database services, journal subscriptions and ad hoc data purchases.

The team is implementing a new technology to control access to these services and understand associated usage. We are seeking a detailed-oriented person to assist in the project implementation.

Tasks and Responsibilities:

  • Research various internal documents and gather service data; vendor, product, delivery method, contacts, access type/restrictions, contract terms, etc. to populate a central site of key entitlement information

  • Liaise with VM team, sourcing, and vendor to verify and confirm accuracy of service specifications; enter data into a standardized TWiki format
  • 25%
  • Execute software pilot testing; configure services and user entitlement data, monitor and record observed behavior, collect and report user feedback and coordinate with user, vendor and technology to identify errors and trouble shoot solutions while maintaining project rollout timeline

  • Test standard and advance profile settings, auto login, usage and job number tracking in Win7 and Win10 environments using IE and Chrome browsers

  • Liaise with the VM team, vendor, and stakeholders to manage the accurate and timely set-up of services and entitlement of users within the software admin tool

  • Track vendor performance against contracted Service Level Agreements (SLA's)

  • Proactively manage processes to optimize efficiencies

  • Liaise with global colleagues on process standards and improvements

  • Adhere to all Vendor Management policies and procedures

  • Attend weekly Global Vendor Management team and other project related calls

  • Support the Global VM team as required

  • Strong ethics and high degree and willingness to learn

  • Knowledge of TWiki web platform and LDAP feeds is helpful but not essential

  • Knowledge of Business Information Industry helpful but not essential

This individual will be driving business strategy across the company using tools such as proactive organizational and talent management, performance management, employee relations, and leadership coaching. This role will act as the day-to-day resource for all production employees and help set the policy regarding contingent workforce practices. Responsibilities will vary widely, ranging from identifying and negotiating with vendors and partners and developing the contingent worker staffing projections, to more routine administrative tasks such as maintaining the contingent workforce database and coordinating logistics. This role will partner closely with the production teams at Group Nine growing into the day-to-day HRBP resource for Brandshop, Studios, and any other future productions. The HR Business Partner will lead by example in demonstrating our company's values - Care Deeply, Be Brave, Go First, Do Good, Stay Close and Win Together. What you'll do: * Evaluate proposed relationships to determine employee vs. non-employee status * Partner with HR Team Advisors, Talent Acquisition and Department Leads to understand future contingent workforce needs and develop strategy to address them * Working with finance to ensure employees properly onboarded prior to work starting * Oversee contingent workforce processes and practices in conjunction with key internal partners in facilities, IT, security, and legal * Collaborate with executives to design and deliver targeted solutions, including strategic workforce planning, change management and team building * Identify relevant vendor partners that will meet our current and projected workforce needs. Negotiate terms and manage relationships * Develop a plan to effectively source and select candidates (where necessary), which may include both oversight and hands on involvement * Suggest and administer policy for definition of non-employee categories and provide guidance on potential co-employment issues * Determine processes and systems to track non-employee relationships. Ensure process is followed and an accurate picture of current and projected contingent workers is up to date * Ensure compliance with established length of assignment and classification of contingent worker rules * Educate and communicate company philosophy internally * Job leveling and banding What we're looking for: * 4-6 years of HR generalist experience * Bachelor's degree required; in business or industrial relations, HR, public relations, or related field preferred * Experience with contingent workforce practices, preferably globally and in a digital media or entertainment field * Recruitment expertise helpful * Solid knowledge of employment classifications related to employee, consultant, contractor, and temporary * A self-starter with a strong work ethic, able to work in a fast-paced environment. You must be detail oriented and have strong problem-solving and decision-making skills * Strong interpersonal and cross-functional team skills, the ability to influence and communicate at all levels of the organization, and "intuition" are a must.
