The Content & Publishing Associate performs editorial and administrative duties to support the Sr. Director of Publishing as well as other Publisher(s), and Editorial Managers as applicable in the daily management of the journal list and editorial offices. They are the "go-to" person for the group and assist in the daily management of the journal list and editorial offices within their team.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Becomes adept at Editorial Manager (online manuscript tracking system), acting as trafficker of manuscripts throughout the peer review and accept/reject process to support Managed title managers.
Maintains list of yearly editorial board meetings; prioritizes workload to accommodate timely preparation of reports according to schedule.
Coordinates annual editorial awards submissions and payments for Folio, APEX, Clarian, etc.
Works with Senior and Associate Directors, and Editorial Managers to compile and create reports for Journals as required for editorial board meetings; formats and edits material supplied by others; works autonomously and involves manager as needed.
Develops user-friendly Adobe, Ovid, and routine analytics reports.
Prepares monthly online traffic reports for journal list.
Participates in special projects as necessary.
Stays current on new social media initiatives and standards; relays latest information to Directors and Editorial Managers.
Coordinates venue live or virtual booking for editorial board meetings, prepares invitations to the editorial board meeting and coordinates other functions as needed.
Prepares deposit check requests for events; communicates progress to manager
Supports RFP process when necessary.
Communicates openly with Directors and Managers regarding travel schedules, reports, and other needs. Prioritizes workload as necessary.
Checks in daily with Senior Director, Associate Directors, and Managers regarding workloads and accepting assignments as necessary, for example: coordinates various Excel files for publisher review; develops and coordinates slide decks for various meetings; sets up live meetings for Senior Director, Associate Directors, and Managers when needed.
Coordinates reoccurring strategy meetings in journal list and takes/distributes meeting minutes.
Communicates with outside editorial offices, vendors, and clients.
Responds to calls and e-mails from outside editorial offices and authors, involves Directors and Managers as necessary; routes ad sales queries to appropriate person or directs to journal website; forwards permissions requests to RightsLink; handles requests for journal samples or online subscriptions from editors.
Becomes fluent in electronic products: uses eJP administrative tool to make necessary changes on the sites; assists editorial offices and editors with web training; maintains and updates social media accounts for journal websites when needed; may coordinate uploads of journal videos, podcasts, blogs, quick polls, etc., during website journal staging process.
Maintains centralized database of editor and society contact information, journal contracts, and specifications.
Compiles Monthly Operating Reports and highlights (MOR) for Directors and Managers as directed.
Creates recurring payment information spreadsheet; monitors and updates as necessary with address and payment changes.
Codes author, peer reviewer, and misc. invoices, prepares check requests, and performs ongoing follow up.
Retrieve and circulates necessary reports for Directors and Managers as needed.
Develops or supports creation of presentations in PowerPoint.
Organizes live or virtual editorial board meetings, including invites, travel logistics, if needed, presentations, and EM metrics, and eJP analytics.
Compiles Impact Factor reports for distribution to Directors, Managers, and editors; update IF on journal websites.
Compiles Kantar reports for distribution to Directors, Managers, and editors, as needed.
Participates in budget preparation, particularly Outside Editorial budgets, as necessary.
Staffs monthly publisher and Core Business meetings as needed.
Attends and/or represents WK publishing at live or virtual conferences as necessary.

JOB QUALIFICATIONS
Education:
Required Experience:
1 year of publishing experience, or equivalent; internships can be considered as well.
Microsoft Office: Windows 7, Excel, PowerPoint.
Preferred Experience, Knowledge, Skills & Abilities:
STEM publishing experience preferred.
Experience with print and online content, rich media development and management of content.
Familiarity with web development and social media.
Excellent writing, communication, organizational skills.
Travel: approximately 5%, minimal travel.
