There are no direct reports with this position.

POSITION SUMMARY:

Under general supervision, the Construction Project Coordinator will provide project administration support to the Project Managers in organizing ongoing projects. Employees in this job class monitor document control and coordinate, communicate and distribute project specific information, authorizations, documentation and statuses. This job class requires general office administration knowledge including familiarity with financial document, budgets, project schedules and plans.

TYPICAL DUTIES:

  • Maintaining and monitoring project plans, project schedules, budgets and expenditures.2.

  • Coordinate preparation of project monthly report(s) with the Project Managers and the Construction Program Manager.3.

  • Ensuring projects adhere to frameworks and all documentation is maintained appropriately for each project.4.

  • Ensuring project deadlines are being met.5.

  • Presents a professional and efficient image with internal and external interactions.6.

  • Record meeting minutes, agendas, as requested and distribute to stakeholders.7.

  • Executes project closeout requirements in accordance with the contract documents.8.

  • Fulfills all project clerical needs such as data entry, document management, copping, distribution of business-related matters, etc.9.

  • Enters information/data into document control system.10.

  • Coordinate preparation of contract, amendments, proposals and change orders.11. Performs other duties and special projects as assigned.

MINIMUM QUALIFICATIONS:

  • Three or more years of related work experience in office administration or related field, preferably in a MEP Industry;- Knowledge of administration office procedures and operations of standard office equipment;- Effective computer skills, including proficient use of Microsoft Office Suite, PowerPoint, MS Projects, and the ability to learn other project management software;- Ability to communicate effectively and respond to questions and requests from team, customers and others;- Effective written communication skills using appropriate business English;- Human relations skills to maintain effective working relationships with team;- Effective customer service skills;- Intermediate computer literacy including knowledge of word processing, spreadsheet, database and presentation software;- Basic mathematical ability including addition, subtraction, multiplication, and division;- Demonstrated customer service, problem solving and commonsense skills.

EDUCATION REQUIREMENTS:

Associates

A comparable combination of formal education and work experience will be considered.

CERTIFICATES REQUIRED:

The following licenses or certificates may be required depending on local, state and/or contract requirements:

Valid Driver's License

PHYSICAL REQUIREMENTS:

Employees must have the ability to perform the following physical demands for extended periods of time with or without assistance: • Viewing computer screen/monitor• Keyboarding• Answering phone/making calls

WORK ENVIRONMENT:

Work is performed in a normal office environment with limited privacy and some exposure to background noise.
