Pavement Maintenance Systems, LLC is an asphalt preservation company located in Imlay City, Michigan, and Marion, Ohio. Industry-specific knowledge and prior office managerial experience are essential for a candidate to be successful in this construction office management position.
This Construction Office Manager role will support both Ohio and Michigan Pavement Maintenance locations from an Office Managerial standpoint as well as the Vice President of Operations and President of Pavement Maintenance from an Executive Assistant perspective. The Construction Office Manager will ensure that all office matters are taken care of in a timely manner as well as support all individuals in the office, sales team, and project managers in the field (approximately 15 people). The individual in this role must portray a high level of leadership ability and be able to mentor and be agile as our business continues to grow.
Essential Job Functions:
Office Administrative Responsibilities (50%)
Hold office personnel accountable
Project support, which could include the use of SharePoint, Microsoft Office365, mailing assistance, etc.
Calendar maintenance and organization for group events
Creation and design of relevant presentation or documents
Virtual filing and organization of materials
Asphalt Industry & Project Management (20%)
Organize and coordinate office operations from project set-up to closeout
Support estimating and field operations from an administrative perspective
Assist with business financials and job costing
Certified Payroll and reporting
Human Resource Liaison and Executive Assistant (20%)
Assist (remote) HR Business Partner with day to day employee relations
Onboarding new employees
Relaying important HR information to employees
Administrative HR tasks
Support President and VP of Operations (10%)
Calendar scheduling and maintenance
Other assignments and support as necessary
High School Diploma or bachelor's degree
At least 5 years' experience in an Executive or Office management role
Analytic capability, including excel, databases management
Advanced knowledge of Microsoft Office Suite
Prior experience with Viewpoint Vista, Heavy Bid, or equivalent construction software
Offer a very high-level of self-awareness and a passion for learning the asphalt industry
Always demonstrate the ability to hold themselves accountable to high standards in quality of work, relationship-building, and professionalism
Courage to take the initiative in unfamiliar or ambiguous circumstances.
