Construction Administrative Coordinator

The Administrative Assistant provides support to the Office and Operations Manager with minimal supervision. They will support the company mission, policies, procedures, and exhibit a commitment to excellence and collaboration. This person must be able to prioritize, handle sensitive information with confidentially and meet deadlines. A successful Admin will be innovative, committed, use independent judgment to organize a diversified workload.

ESSENTIAL FUNCTIONS

• Work with Estimators to prepare RFP schedule, perform research, organize content, and create/organize bids for submission

• Ensure proposals meet objectives, and tracking task completion

• Answer/Direct phone calls; take messages to assist Managers

• Track and maintain office/field supplies and PPE

• Assist with onboarding and new hire orientation/training including processing paperwork, background checks, and physicals.

• Maintain compliance tracking of Driver and Health and Safety files

• Request Certificates of Insurance of Liability and Bonds for the business unit

• Maintain all Project Files; create folder;

• Business Licenses complete application and renewals for Business Unit

• Maintain/Updating job files and employee certificates in SharePoint

• Maintain UPS/FedEx Accounts and ship packages

• Complete all other duties and projects as assigned

JOB REQUIREMENTS AND QUALIFICATIONS

• Must be proficient in MS word, Excel, PowerPoint and ability to learn other programs and software used by the company and ability to access and use database

• Must be able to work independently

• Detail oriented

• Accountable

• Ability to follow up on a task through completion w/ little to no supervision

• Team player

• Ability to tackle new tasks when necessary

• Ability to overcome obstacles with a positive attitude

$20 - $22 Per hour depending on experience.
