SALARY RANGE: $55,052.00 - $66,838.00 Annually

CLASS DESCRIPTION

The Baltimore City Comptroller's Office is seeking a highly qualified Special Assistant to join the team. The Special Assistant is responsible for providing constituent services and administrative support for the central office.

The Office of the Comptroller is constituted of five (5) departments plus the Executive Direction & Control Office (about 110 employees). The Office challenges itself to performance improvement goals just as it asks of all City offices and agencies.  The Office is modernizing systems with a focus on continuous improvements that will support and increase transparency, information accessibility, government accountability and efficiency.

ESSENTIAL FUNCTIONS

  • Collaborate with City agencies to solve pressing for constituents.

  • Provide customer service to constituents seeking assistance via phone, email, letter, and logging data every step.

  • Maintain records/files for constituents.

  • Attend community/neighborhood associations meetings and local events.

  • Coordinate Comptroller's Special Events

  • Represents Comptroller at special events/accompanies Comptroller to events/meetings.

  • Attends Governmental Meetings

  • Participant in weekly staff meetings and scheduling meetings

  • Manage office, phones, mail, public email, ceremonial documents.

EDUCATION AND EXPERIENCE REQUIREMENTS

EDUCATION: Have graduated from an accredited high school or possession of a GED certificate.

AND

EXPERIENCE: Have five years of office support experience including two years in taking and transcribing dictation, scheduling appointments, writing correspondence and setting up meetings and agendas.

KNOWLEDGE, SKILLS, AND ABILITIES

  • Knowledge of English grammar, spelling, and punctuation.

  • Knowledge of office practices including office protocol and various filing procedures.

  • Knowledge of standard business formats for correspondence, narrative reports and related materials.

  • Ability to plan and direct the work of a group of lower-level employees efficiently and effectively.

  • Ability to effectively train or orient subordinate employees in new or revised procedures.

  • Ability to shift priorities and re-distribute work assignments to meet changing deadlines.

  • Ability to represent superior at meetings.

  • Ability to take and transcribe dictation at an acceptable rate of speed and accuracy.

  • Ability to exercise sound judgment on a variety of matters guided by general instructions.

  • Ability to compose correspondence.

  • Ability to locate and retrieve information from a variety of sources and to compile the information, following general directions.

  • Ability to deal with other employees and the public with tact and courtesy.

  • Ability to perform arithmetic computations with accuracy.

  • Supervisory ability.
