This position will be responsible for managing large and high level valuations and consignments and identifying and coordinating department-wide business development initiatives.


  • Work with Head of Department and the Chinese works of art team to manage large and high level valuations, proposals and consignments.

  • Go on the visits, as needed;

  • Manage the preparation of the valuation, liaising with specialists and valuations team;

  • Liaise with other departments/specialists as needed;

  • Serve as main point of contact with the client or the appointed client representative;

  • Participate in all proposal strategy meetings relating to the consignments;

  • Liaise with business director, legal and the sale administrator in the preparation of a contract;

  • Manage the sale administrator to generate consignments in SAP/contracts;

  • Coordinate property pick up, including managing the administrator to organize shipping; be present on pick-ups; accounting for works on arrival;

  • Liaise with risk department for any special coverage required;

  • Communicate all changes of attributions/estimates and reserves to the clients;

  • Ensure all marketing commitments conveyed to the client are met, obtaining consigner approvals if requested;

  • Confirm reserves and interest-level with the client;

  • Manage the post-sale process including communicating post-sale offers/reoffers and returns

  • Liaise with post-sale to confirm payment is made pursuant to client's requests

  • Work with head of department and the client developer on managing the appraisal meeting and client lists and lead/work with specialists on initiatives that result from meeting, where possible

  • Initiate client development projects and look for business development opportunities

  • Manage the scheduling of regular department meetings for the Chinese works of art team

  • Management of other projects and events for the department as directed by Head of Department/Christina/Rebecca/Michelle, as needed

  • Work closely with the administrator and department assistant with a view to direct reporting in the future

  • Liaise with Sotheby's Home for potential BIs/review large AE listings for SH potential


  • BA and 4-6 years of client and/or auction related experience

  • Strong project management skills

  • Excellent organizational and time management skills

  • Strong ability to problem-solve

  • Excellent written, verbal, interpersonal and client service skills

  • Strong team player, detail oriented, flexible, accurate, discreet, dependable, resourceful and able to multi-task gracefully

  • Ability to work independently in a fast-paced, deadline-driven environment

  • Knowledge of all Microsoft Office applications, particularly Microsoft Word and Excel

Position Overview: The Art Department Global Project Manager is a blended role of part project manager and part in house production manager. This role will manage support and resources for the creative services department, based in New York City, by trafficking projects, managing workloads, maintaining schedules and building out budgets and scope for in house productions. This position requires the candidate to act as a liaison between Creative Department and all other departments within the organization, as well as third party vendors. This person will also help lead management of key brand productions, from concept to completion and will also oversee e-commerce workflow and project timelines/deliverables. Primary Responsibilities: * Primary Administrator and manager of web-based project management system – WorkFront * Asses, intake, assign, monitor and timeline police all project requests via WorkFront * Manage creative dept. schedules and workload and understands bandwidth at all times * Exceptional timeline creator and project tracker keeping the entire department on time * Daily follow up with team members and all other departments to ensure a continuous workflow * Coordinate daily project trafficking between Creative team and relevant departments * Route all layouts, proofs and artwork requirements to appropriate departments * Maintain and distribute department status reports for all meetings * Work closely with all relevant departments, effectively communicating project status updates * Coordinate weekly status meetings with all relevant departments * Manage shot list development and oversees sample coordination for all photoshoots/productions * Liaise with Creative team to help organize and maintain assets on servers and in WorkFront * Assist with special projects as needed * Lead's and manages production budget development for all internal-led productions: * CRM/Direct Mail projects in conjunction with ecommerce teams * Store packaging/Collateral/Printing * Window installation * In store displays * Seasonal Content Shoots * Collaboration projects * Other special projects * Engage, develop, and maintain outside vendor relationships, understanding which partners are best to engage for the right projects. * Manage talent and asset usage rights, responsible for ensuring all regions are aware of usage and have what they need. * Obtain overall knowledge of the TUMI brand * Partners with Global Art Director to keep productions on budget and on time * Manage, train, and develop Art Department Project Coordinator Qualifications: The successful candidate will have 4 year college degree with creative and/or marketing background with 3-5 years in creative industry. They will have excellent organizational, time management, and planning skills with strong attention to detail, exceptional interpersonal skills and keen problem-solving skills. Must have strong written and communication skills and the ability to interact with all levels of management. Proficiency in Microsoft Windows and Office applications including Word, Excel, and Outlook (or similar email environment) in both Mac/PC platforms. Working knowledge of design applications including Creative Suite (InDesign, Adobe Acrobat, Illustrator and Photoshop) and PowerPoint is required. Project Management and Production experience (photoshoots, video, digital) required. SAP experience is preferred, but not required. Experience using project management software in a similar environment is a plus. Experience managing at least one person is required.
