Confidential Executive Coordinator (aHEO)

POSITION DETAILS

The Confidential Executive Coordinator will provide confidential administrative support to the College Counsel and the College's Chief Diversity Officer/Title IX Coordinator. This involves performing general office coordination activities, including maintaining all departmental files, managing office calendars, assisting in compliance with legal mandates and deadlines, and responding to sensitive requests and inquiries. This position reports to both the College Counsel and the College Chief Diversity Officer.

The Confidential Executive Coordinator's responsibilities will include but will not be limited to:

  • Operates as the office's initial point of contact, managing communications, scheduling meetings, answering and directing incoming calls, and relaying messages.+ Collects data; helps prepare and distribute reports and/or presentations using Excel, PowerPoint, and other presentation software.+ Updates office databases, lists, including telephone directories and office personnel lists, and files to ensure completeness and accuracy.+ Assists with Committee on Ethics and Lobbying in Government (COELIG) reporting and coordination of ethics training activities.+ Assists with responding to requests for documents, including Freedom of Information Law (FOIL) requests, student records requests, and subpoenas.+ Collaborates with other College offices on routine tasks and special assignments as needed.+ Assists with Affirmative Action Plan record-keeping as needed.+ Coordinates records management under CUNY's Retention Policy.+ May assist with litigation matters, including tort lawsuits and responses to complaints with administrative agencies.

QUALIFICATIONS

Minimum Qualifications

Bachelor's degree required.

Preferred Qualifications

  • Two years' of related full-time CUNY experience
  • Working knowledge of College and University policies and procedures
  • Excellent verbal/written communication and computer skills
  • Strong analytical, evaluative, and research skills
  • Understanding of file management and organization+ Proficiency with MS Office Suite (word processing, spreadsheets; database management; presentation software), and Adobe Acrobat document creation and editing
  • Effective time management and organizational skills

CUNY TITLE OVERVIEW

Provides administrative support as a confidential assistant to a Campus or University Executive.

  • Coordinates office operations such as meetings, communications, events, and reports

  • Maintains extensive files and records for the unit

  • Maintains accurate calendars, schedules, and key dates

  • Collects data for, prepares, and distributes reports and presentations using appropriate technology; runs basic system queries and reports

  • Updates office databases, lists, and files to ensure completeness and accuracy; maintains current information on department web site(s), manuals, and other materials

  • Provides clear communications on the Executive's behalf both within and outside the unit

  • Performs related duties as assigned.

This position is excluded from union representation.

COMPENSATION AND BENEFITS

$60,394 - $72,837. Salary commensurate with qualifications and experience.
