Overview

Our 13-person Conferences and Events team is looking for a planner to share in our passion for creating signature events. Key responsibilities

  • Conceptualizing, designing, and executing creative and engaging conferences and eventsoften occurring simultaneouslyensuring that each project plan is on track and that deadlines are met

  • Ensuring that each conference and event reflects the client's goals and exceeds his or her expectations

  • Coordinating all aspects of conference logistics, including travel manifests, budget, hotel details, and agenda formation

  • Selecting venues, dcor, restaurants, activities, and entertainers that are in line with the Commonwealth brand

  • Identifying, sourcing, and coordinating support services for events (gifts, photographer, audiovisual, transportation, etc.)

  • Maintaining and strengthening external client relationships to ensure trust and satisfaction with the stated expectations and goals

  • Overseeing the technology and operational processes for conferences and events; making recommendations for improvements

  • Serving as a liaison between the Conferences and Events team and Design for all assigned conferences and events; overseeing the creation and production of program marketing material and ensuring that all deadlines are met

  • Mastering our internal conference software, Cvent

Core strengths

  • Strong project management skills with at least 4 years of experience in planning and executing events; significant exposure to food and beverage, entertainment, design/copywriting, budgeting, and project management

  • Enthusiastic, energetic, and personable demeanor; must have a great attitude and be customer focused

  • Creative and innovative; a self-starter who generates ideas

  • Able to remain calm and stay focused under pressure; strong organizational skills and attention to detail

  • Strong follow-up and time management skills; able to juggle a variety of duties

  • A positive and adaptable approach to problem solving

  • Demonstrated negotiation skills

  • A team player; respectful of other people's time

  • A high level of proficiency with Microsoft Word, Excel, Outlook, and online research preferred

  • Ability to travel up to 2530 percent of your time

  • Meeting management certification and financial services industry experience a plus

You will work with the Category Sourcing Team to identify opportunities to save money or improve processes for Marketing & Events Stakeholders. Applying the seven step Sourcing Methodology to identify and source opportunities. Improving supplier relationships and management and if necessary resolving supplier quality or service issues. You will report to the Purchasing Director and will work with local and global Purchasing Team members and learn to optimize the Sourcing Methodology process in a global business environment. What will your job be? * Understand internal client needs in order to develop, issue and manage requests for proposals or quote to meet end use requirements * Negotiate and implement supplier contracts and report achieved savings * Utilize supplier relationship management tools and process to ensure quality and service levels * Gather, input, and analyze key data to understand buying trends and opportunities Your key success factors * Advanced Excel skills, e.g. Formulas (if/and), VLOOKUPS and Pivot Tables, Charts - Graphs > Ability to complete complex spend or data analysis upon which business decisions will be based > Comfortable self-educating new Excel functionality and reporting * Strong communication skills in two parts: 1.) very strong writing skills utilizing the rules of English grammar; 2.) verbally clear, concise, and grammatically correct oral (speaking) communication skills in English * Work onsite at Dassault Systèmes 175 Wyman Street Waltham Mass; no remote or offsite permitted * Highly organized with critical attention to details especially when running Excel reports * Conferred Bachelor's Degree * 3 years sourcing experience proven purchasing experiences in Indirect Sourcing, contract negotiation, supplier management and reporting > Knowledge of purchasing tools such as Purchasing Card, eProcurement, RFx, Contract Management tools, etc. > Experience and competence in using integrated ERP software, e.g. PeopleSoff > A strong knowledge of purchasing policies, procedures and practices including compliance with an ability to apply experience as necessary. > Well versed in contract terminology and use of standard purchasing terms and conditions * Proven ability to work on multiple project simultaneously with competing deadlines * Strong problem identification and solving skills, you are comfortable thinking about a problem/issue and working through it, attempting to resolve it * Able to work and present (PowerPoint) comfortably to all levels of the organization in a global environment * Strong functional use of Microsoft Office Suite e.g. Word and PowerPoint Plusses, not required * Experience in working within a multi-cultural environment and/or non US based company * Degree in Business or Supply Chain Operation * Experience in Marketing and/or Events Compensation & Benefits Dassault Systèmes offers an excellent salary with potential for bonus, commensurate with experience that is above average in the local community.
