Job Summary

This position is a hybrid Reservationist/Conference Center Floater and EMS Trainer based on business demands and season. This position is responsible for assisting with resolving space conflicts, waitlists, and support of the conference center team to ensure seamless execution.

Essential Duties and Responsibilities:

  • Space maximization and provide conflict resolution for managed spaces in NY/NJ and connection as necessary to global locations

  • Address complex, escalated, unique and last minute requests to ensure proper space is utilized and effectively provisioned

  • Work closely with Global team to ensure effective waitlist management and ensure consistent process to accommodate all possible requests

  • Responsible for speciality projects as necessary

  • Responsible for BCP coverage in Princeton, Jersey City & Greenwich

  • Developing and maintaining an excellent rapport with clients via telephone or email instilling confidence that their meetings are being handled in an expert, timely, professional manner

  • Create/update quick reference guides on EMS Reservation system as processes change


  • 2 years of hotel, corporate or conference center experience

  • Previousmanagement or supervisory experience

  • Basic understanding of AV equipment

  • Superior quantitative, oral and written communications and problem-solving/strategizing skills

  • Advanced computer skills and knowledge of MS Office products, including Word, Excel, PowerPoint, Outlook, and internet

Job Description: ESSENTAIL FUNCTIONS: * Effective and timely communication with Sales Manager, Meeting Planner and operational staff to gather information about the meeting or event. * Effective and timely communication with client and operation staff to distribute all meetings and event details. * Coordinates and verifies all group needs: attendee lists, meeting room set-ups, transportation, food & beverage, audiovisual requests, and billing specifics. * Assesses and offers creative suggestions and recommendations for set-ups, meals, technology, upgrades, entertainment, and transportation. * Well versed on property lay-out and all of the capabilities of the center in regards to meeting rooms and technology. * Knowledge of meeting room set-ups. * Working knowledge of basic Audiovisual Equipment and uses. * Serves as on-site point of contact. * Analyzes, anticipates and solves all problems relating to the conference guest and their event. * Takes a proactive approach towards client satisfaction and responds to all client evaluations related an acceptable level. * Up-sells goods and services offered by the conference center and outside services to maximize revenues and increase profitability. * Promote the property in arranging and conducting client site visits for the purpose of exposing the client to the space firsthand an in-person. * Performs administrative duties to include distribution of event orders, reports, filing, etc. MARGINAL FUNCTIONS: * Complete all paperwork as required. This may include some knowledge of computer software and ability to complete necessary written forms. * Assists with organizational structure of the concierge team and the conference services attendants. * Attends the following meetings weekly: General Manager's Staff Meeting, Conference Review and all Conference Services Staff Meetings. * Ability to operate office equipment. * Gather vendor information such as price quotes, product availability, delivery specs, etc. * Abide by the instituted purchase order system. QUALIFICATIONS: * High School Diploma. * Three year's hotel/convention/conference or meeting planning experience. * Computer literate. * Excellent written and verbal communication. * Pleasant demeanor. * Detailed-oriented and possesses the ability to multi-task. * Good organizational and follow through skills.
