Job Purpose:

Under the guidance of the Director of Conference Services and Director of Sales and Marketing, respond to incoming Corporate Catering (Day Meeting) opportunities for the hotel. Also responsible for the management, coordination, and execution of group business turned over by the Sales Department.

Duties & Functions:

  • Identifies, qualifies and solicits new Corporate Catering business to achieve personal and hotel revenue goals.

  • Conducts customer site inspections, menu tastings, and planning meetings for upcoming groups.

  • Closes the best opportunities for the hotel based on market conditions and hotel needs.

  • Within established parameters, quote and negotiate catering/ conference service prices with customer confirming by letter and drawing up contracts.

  • Maximizes revenue by up-selling packages and creative food and beverage.

  • Forecasts group event revenue (catering and audio-visual) for groups.

  • Sign Banquet Event Orders (BEO's) for the hotel and obtain customer signatures to close the transaction and service details.

  • Coordinate and follow up with other hotel departments to ensure the delivery of superior guest and meeting services.

  • Reviews billing and payments with clients.

  • Executes exemplary customer service to drive customer satisfaction and loyalty by assisting the customer and ensuring their satisfaction before and during their program/event.

  • Gains understanding of the hotel's primary target customer and service expectations; serve the customer by understanding their business, business issues and concerns, to offer better business solution both prior to, and during the program/event.

  • Interacts effectively with sales, kitchen, banquets, front desk and vendors to ensure customer satisfaction. Exemplifies and supports brand standards and service values.

  • Makes presence known to customer at all times during entire event process.

  • Coordinates and communicates verbally and in writing with customer (internal and external) regarding event details in a professional capacity, upholding service excellence standards.

  • Maintain strong customer relations and ensure that conference specifications are communicated and executed for a successful meeting experience for the meeting planner and attendees.

  • Review sales contracts as well as other important information, i.e., room block, cutoff date, special concessions and attrition clauses and validate with customer via turnover letter.

  • Monitor and enforce program deadline dates and work with customers to release meeting space not needed to maximize hotel revenues.

  • Produce and distribute convention resume one week prior to groups arrival and communicate any changes and updated information to hotel departments.

  • Complete & Distribute BEO's 10-14 days before the event to appropriate departments.

  • Participate in and/or lead BEO review meetings.

  • Participate in designated training programs.

  • Achieve established catering/ conference service goals and revenue outlined.

ADDITIONAL RESPONSIBILITIES

  • Communicate effectively, both verbally and in writing, to provide clear direction to the venue teams.

  • Communicate with employees using a positive and clear speaking voice, listen to and understand requests, respond with appropriate actions and provide accurate information.

  • Remain calm and alert, especially during emergency situations serving as a role model for team and other employees. Interact with other department personnel and staff as needed.

  • Make decisions and take actions based on previous experience and good judgment, sometimes revising procedures to accommodate unusual situations.

SUPPORTIVE FUNCTIONS

In addition to performance of the essential functions, this position may be required to perform a combination of the following supportive functions, with the percentage of time performing each function to be solely determined by the supervisor based upon the particular requirements of the company.

  • Attend mandatory meetings including divisional meetings, staff meetings, etc.

  • Participate in community events and ensure corporate social responsibility goals of sbe are met.

  • Utilize traditional software programs such as Microsoft Office (Word, Excel, Outlook, and PowerPoint), (Catering systems) Delphi and Social Tables and any departmental specific systems used.

  • Keep work area clean and organized.

  • Ensure confidential documents are kept in a secured area.

  • When disposing confidential documents that contain any personally identifiable information, they must be shredded or pulverized.

  • Complete other duties as assigned by the Department Head.

  • Demonstrate positive leadership characteristics, which inspire Team Members to meet and exceed standards.

  • Ensure compliance with sbe's policies and procedures.

OTHER DUTIES

  • Assimilate into sbe's culture through understanding, supporting and participating in all sbe elements. Demonstrate working knowledge of the service standards.

  • Regular attendance in conformance with the standards, which may be established by sbe from time to time, is essential to the successful performance of this position.

  • Due to the cyclical nature of the hospitality industry, employees may be required to work varying schedules to reflect the business needs of the property.

SPECIFIC JOB KNOWLEDGE, SKILL AND ABILITY

The individual must possess the following knowledge, skills and abilities and be able to explain and demonstrate that he or she can perform the essential functions of the job, with or without reasonable accommodation.

  • Bachelor's degree with a Hospitality focus and/ or eighteen months as a Catering/ Conference Service manager preferred.

  • Regular use of a computer, business equipment and software are expected.

  • Working knowledge of Delphi, Social Tables, or similar system, Word, Excel, and the Internet.

  • Effective verbal and written English communication skills are necessary to be successful in this position.

  • Fast-paced, full mobility, continuous standing and the ability to occasionally lift, carry, and move up to 30 pounds is required. Limited local travel may be required.

GROOMING/UNIFORMS

All employees must maintain a neat, clean and well-groomed appearance. Specific uniform guidelines and/or required articles of clothing will be explained to you as a part of the orientation process.
