Job Summary
Reporting to the Manager of Conference Services, the Conference Services Assistant will assist in the implementation of conference services events. They will assist and advise customers throughout the university and local communities to ensure successful event outcomes.
Including but not limited to, answering phones, collecting information from clients and guests, preparing estimates, invoices, and collecting payments for events. Scheduling and planning with internal and external resources to support events. Daily reconciliations, financial corrections per university policies and procedures.
Processing invoices and interdepartmental transfers for services or rentals. Makes eVA purchase requests, for all of University Services, as needed. Assist as needed within any area under University Services. Serves as the backup for the University Services Auxiliary Services Tech, and Scheduling Manager, as needed.
Required Qualifications
Strong customer service skills. Must have strong computer skills and be very proficient with Microsoft Office products with special emphasis on Excel and Access.
Must have strong analytical skills.
Ability to learn multiple computerized systems. Strong written and verbal communication skills.
Ability to work effectively independently or as a part of a group. Strong time management and organizational skills. Must have strong accounting skills, as they apply to reconciliation, accounts receivable and accounts payable.
Ability to work nights and/or weekends as necessary. Ability to work some overtime if necessary.
Additional Considerations
Prior experience working in event planning. Functional use of Banner and eVA.
Experience in working with credit card transaction systems and software. Experience working in a higher education setting. Preference for person with experience in a fast-paced, high-volume, customer service organization. Demonstrated experience working with data for reporting purposes.
