The Office Coordinator of Conference & Catering Services is accountable to complete, administer, and maintain total support to the Conference & Catering Services office as well as to provide total support to the Director of Conference & Catering Services, resort guests, associates, and ownership as needed. This position is essential in providing professional paperwork and communications from the Conference & Catering Service department to the entire resort. The Coordinator must maintain a positive attitude, flexibility, and a desire to provide world-class customer service.

Essential Functions

  • Deliver and retrieve all mail and correspondence.

  • Answer telephone in the Conference & Catering Services office and take complete messages, if necessary.

  • Liaison between Director of Conference & Catering Services and all levels of management and associates.

  • Maintain communications between associates, management and the Conference & Catering Services Department.

  • Distribute and maintain various paperwork Group Resumes, Banquet Event Orders, Daily Events, Change Logs.

  • Update & maintain the Daily Events on all digital TV screens.

  • Scheduling of appointments for Director of Conference & Catering Services and other managers as directed.

  • Computer support: word processing, spreadsheets, databases, e-mail and Windows applications Powerpoint, Publisher preferred.

  • Attend necessary team, department, supervisory, and resort wide meetings as directed.

  • Complete and coordinate special projects as directed.

  • Assume all other responsibilities assigned

Knowledge, Skills, and Abilities Required

  • Must possess a positive attitude with the ability to handle stressful situations.

  • People oriented and possess good organizational and communication skills.

  • Educational Requirements:
    High school Diploma, college or business degree preferred

  • Must have proficient computer skills: all Windows Microsoft packages

  • Must be able to speak English

Coordinate and manage all aspects of Catering, Conferences, Events, Business Center & Audio Visual Services, while maintaining a close working relationship with Sales to ensure maximum profits and yield. Essential Functions: * Coordinate overall operation of conference services provided by Nemacolin Woodlands * Ensure accurate and detailed information is streamlined between Resort Events and Sales * Work closely with the Director of Sales & Marketing in strategizing all group related resort packages, and the assignment of meeting space * Act as back-up to each Resort Events Manager for difficult or large events * Ensure pricing structure is perceived by the guest as a "real value" * Participate in/attend all pre-con and guest related meetings, and actively support the Resort Events Manager, and the Resort * Conduct daily site inspections of all outdoor venues for physical defects, cleanliness, and overall appearance * Establish minimums for outdoor venues * Ensure all indoor meeting areas, including adjoining public space, is in good repair, clean, and appropriately maintained * Annually establish/revise/review all non-food and beverage pricing structures to remain competitive and viable * Review all GEOs daily before distribution for accuracy and grammar * Attend and conduct twice weekly BEO meetings * Attend all appropriate Resort Meetings as required * Attend and conduct the weekly Resume Meeting * Attend and conduct the Operations Meeting once/week * Maintain a quarterly review of guest comment and group rating forms to verify incentive payouts * Develop, implement and maintain accurate budgets and forecasts for all related departments * Along with the Theme Event Manager, develop new ideas and methods of maximizing the Resort property for outdoor events * Research and solicit vendors for product and rental items to add to Prop inventory * Oversee all prop and special event construction * Develop Theme Events for the future to produce a revenue generating department * Plan, develop, and coordinate all Special Events as required * Conduct all annual reviews, disciplinary and hiring functions for respective salaried positions which report directly to this position * Attend any in-house seminars or training classes which may benefit this position * Along with the Resort Events Managers, develop new ideas and methods of maximizing the Resort property for outdoor events Knowledge, Skills, and Abilities Required: * Must have a degree or equivalent experience in Sales, Marketing, Catering or Conference Services, or related field is necessary. * 5-10 years of experience in the same field is preferred * Telephone, oral and solicitation skills are required * Must be able to speak English * Must meet or exceed all Quarterly Goals.
