The Conference and FOIA Specialist will serve as the FOIA Point of Contact (POC) will serve as the primary contact for all incoming FOIA requests for jurisdiction check, consult requests, requests assigned to NE, and more.

ESSENTIAL REQUIREMENTS

Must have proficiency in a variety of computer software applications in word processing, spreadsheets, database, (MS Office: SharePoint, Word, Teams, Excel, Outlook, PowerPoint).

KEY DUTIES AND RESPONSIBILITIES

Essential duties and responsibilities include the following. Other duties may be assigned.

Serves as the NE Conference POC on all incoming requests for event attendance and hosting events.

Reviews and processes Event Forms according to DOE Conference Guidance and GC guidance, consulting with appropriate organizational elements (OD or DAS) for approval and providing approval certificates.

Manages the NE Conference Mailbox and respond to all inquiries in a timely manner; process all incoming sponsorship requests for NE-HQ and NE-INL for NE-1 approval; and manage NE data within the DOE Conference Management Tool (CMT) and Nuclear Energy Conference Tracker (NECT).

Prepares conference packages for NE hosted events, as required, for review and approval by NE management, NE-1, GC, MA, and Executive Secretariat office; and work with GC to gain event determinations as needed.

Keeps track of all approved event-related forms.

Serves as the primary Freedom of Information Act (FOIA) Specialist (25%) for the Office of Nuclear Energy on all incoming requests assigned to the office.

Works directly with DOE HQ FOIA Analyst to complete request packages.

Collaborates with the Subject Matter Expert (SME) assigned to each request to ensure its timely completion.

Updates the monthly FOIA report to show category of all incoming requests and status of all open requests and assist in the preparation of the annual NE FOIA report.

Plans daily activities within the guidelines of company policy, job description and supervisor's instruction in such a way as to maximize personal output.

Responsible for aiding in own self-development by being available and receptive to all training made available by the company.

EDUCATION AND EXPERIENCE

Associate's degree and a minimum of three (3) years' relevant experience, or equivalent combination of education/experience.

JOB SPECIFIC KNOWLEDGE/SKILLS/ABILITIES

Excellent written and verbal communication skills with strong command of the English language.

Excellent organization and document creation skills with attention to detail.

Maintain knowledge of federal government and DOE conference and FOIA rules, regulations, and requirements.

Ability to work independently based on general guidance and verbal & written trainings.

Ability to work well with others in a team environment and to assist team members when needed.

Ability to interact effectively with internal / external stakeholders in a professional manner.

LANGUAGE SKILLS

Ability to read, analyze and interpret general business periodicals, professional journals, technical procedures or governmental regulations. Ability to write reports, business correspondence and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers and the general public.

MATHEMATICAL SKILLS

Ability to work with mathematical concepts such as probability and statistical inference, and fundamentals of plane and solid geometry and trigonometry. Ability to apply concepts such as fractions, percentages, ratios and proportions to practical situations.

REASONING ABILITY

Ability to define problems, collect data, establish facts and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.

Work is primarily performed in an office environment. Regularly required to sit.

Regularly required use hands to finger, handle, or feel, reach with hands and arms to handle objects and operate tools, computer, and/or controls. Required to speak and hear. Occasionally required to stand, walk and stoop, kneel, crouch, or crawl.

Must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, depth perception, and ability to adjust focus. Exposed to general office noise with computers printers and light traffic.
