The part-time Concierge is responsible for all incoming phone calls and directing calls to proper parties, taking and distributing messages; greeting and directing all visitors and residents; and distributing business and inter-office mail. The Concierge performs various duties for the residents; enters work order requests from the residents, accepts packages and notifying residents of package deliveries. The Concierge maintains Guest Suite Reservations and maintains various records of resident information such as the Resident's Address and Phone List and the Resident's "Out of Town" list. The Concierge has a thorough knowledge of emergency response procedures and Up and About System.
Answers all incoming phone calls in a timely manner and directs all calls to proper parties. Takes messages and follows through on delivery.
Greets visitors and residents in a friendly, respectful and helpful manner. Gives directions and answers questions to the best of their ability.
Distributes the business and inter-office mail.
The Concierge maintains Guest Suite(s) Reservations, check in/check out information and takes payment and/or has guest sign to have Resident billed and submits to Accounting Department.
Monitors office supplies, maintaining a log of supplies used. Forwards list of supplies needed to the Director of Administrative Services.
Completes work order tickets for any maintenance or housekeeping services according to the requests of the residents and staff. Enters all requests into the AOD (Answers of Demand) program.
Assists residents in placing reservations for dining, shopping, etc. and forwards these requests to the proper department.
Accepts packages for residents from US Mail, FedEx and UPS. Once the package is received the Concierge notifies the resident of the arrival of the package and arranges for delivery of packages to the resident if requested. Maintains a log recording the date the package is delivered to the facility and the date the package is picked up by the resident or delivered to the resident.
Maintains a key log of Master Keys for Apartments and Patio Homes.
If requested by the Director of Administrative Services, the Concierge will help train additional staff members within the department when necessary.
Must have a genuine interest in geriatric care and believe in and uphold the philosophy of the facility. Must present a well-groomed appearance and demonstrate a courteous, friendly, patient and congenial manner at all times.
Education: High School diploma or equivalent
Training and Experience: Must be able to work well and maintain a pleasant manner under pressure and with a high degree of interruption.
Ability to type, file and handle a multi-line telephone system is essential. Knowledge of Microsoft Office is necessary.
Must maintain good public relations with a positive work attitude in the work environment.
