Our Concierge team is dedicated to accommodating guest requests from the ordinary to the extraordinary. With local knowledge and insights the Concierge team does wonders to enhance guests experiences, making their stay that much more enjoyable. We are looking for candidates who have excellent personal presentation and interpersonal skills.

Attention to detail and the ability to multi task are required. This position requires candidates to be extremely knowledgeable about the local area, have a high degree of patience and work with discretion. This position requires standing for 8 hours per shift. Job Summary Responsibilities include providing owners with a superior level of service when visiting the facility through an increased level of understanding and knowledge regarding the Association and clubhouse offerings. Interactions are typically with HOA homeowners in person, via telephone or written correspondence within the timelines as defined by company policy and/or Assistant/General Manager's Directive. Ensures proper check-in of residents and their guests into the system as well as program registration. Responsibilities Primary Responsibilities may include but are not limited to the following: * Greets residents and guests as they enter the facility with the highest level of customer service either at the main front desk or onsite office; addresses the member by name whenever possible. * Checks in residents and charges any applicable fees for facility usage and/or programming through approved company policies. * Maintain regular and positive communication with each owner and abide by the culture created to enhance, and promote daily positive interaction among members of the FirstService management team. * Identify and clarify resident's needs. Answer questions and provide direction while maintaining owner confidentiality. * Provides New Residents with the necessary paperwork and information on being a resident in the community and gaining access to the facility. * Ensures that the telephone is answered properly and messages are handled courteously, accurately and within 24 hours. Monitors, logs, and screens messages, providing managers with necessary details for follow-through. * Data entry projects, as assigned, including but not limited to Homeowner Paperwork and Updates and Check entry. * Electronic filing system (docuware) to ensure documents are properly logged and archived pursuant to the companies policies at least 2-3 times per week. * Completes all other Concierge duties as necessary. * Follow safety procedures and maintain a safe working environment. * Assists the Assistant Manager with event preparation, execution, and breakdown. * Ensures the highest quality of service for every event. * Assists in moving furniture, tables, chairs and other event inventory as needed in a fast paced environment. Returns each room to its original condition following each event. * Performs general cleaning tasks using standard cleaning products as assigned by supervisor to adhere to sanitation standards. May include other duties, such as cleaning unexpected spills, or special member requests. * Displays professionalism and courtesy to all guests and vendors of the event. * Shows attentiveness, alertness and attention to detail for each event. * Must follow each Event Order Form directly in regards to event details, timing and staff requirements. Completes and submits an event checklist to the Assistant Manager immediately following each event. * Light seasonal snow removal/shoveling as needed. * Works varying schedules, weekends, holidays, late nights and overtime to reflect the business needs of the Club. Attends departmental meetings and/or trainings as scheduled. * Performs other duties as assigned, and is willing to be cross trained on other positions at the clubhouse. * Required to attend any mandatory trainings and/or meetings scheduled. * All other duties as assigned by the Assistant and/or General Manager. * Practice and adhere to FirstService Residential Global Service Standards. * Conduct business at all times with the highest standards of personal, professional and ethical conduct. * Perform or assist with any operations as required to maintain workflow and to meet schedules. Notify supervision of unusual equipment or operating problems and the need for additional material and supplies. * May participate in any variety of meetings and work groups to integrate activities, communicate issues, obtain approvals, resolve problems and maintain specified level of knowledge pertaining to new developments, requirements, policies, and regulatory guidelines. * Ensure all safety precautions are followed while performing the work. * Follow all policies and Standard Operating Procedures as instructed by Management. * Perform any range of special projects, tasks and other related duties as assigned. Skills & Requirements * Must have experience in customer service and working with POS systems. * Strong communication, customer service and inter-personal skills * High School Diploma or equivalent required. College degree preferred. * CPR/AED certifications required * Alcohol Awareness Training Required * Responsible for maintaining Company, Resident and Staff confidentiality. * Telephone Etiquette; POS Procedures; Resident Database Resources * Knowledge in the use of various office equipment required * Position involves sitting, standing and/or movement throughout the day. Must be able to transport oneself not only around the office, but also around the Community Association. * Duties of event execution, as well as maintaining files and records will involve stooping, bending, lifting, and grasping, pushing, pulling, or otherwise moving objects weighing as much as 50 lbs. This type of activity may occur several times throughout the day. * Performance of duties may require employee to be both inside and outside. Inside temperature will be controlled and the use of fluorescent lighting will exist.
