Job Description Summary
Welcoming, energetic, and efficient front desk/office support person to work for a commercial real estate services company in Boston. The ideal candidate will be hospitality-focused, showcase a contagiously positive attitude, possess exceptional communication skills, and excel in organization in order to support clients, guests, and employees in the office.

Essential Job Duties
Office Operations:
Manage front desk by providing building access and notifying employees that the client, vendor, or job candidate has arrived
Coordinate catering, conference room space, invitations, and other event planning activities as needed
Possesses the ability to learn AV technology for conference room booking and digital-meeting troubleshooting
Support, organize, and/or assist with internal meetings and events as required
Answer and screen all incoming calls and relay messages appropriately
Maintain a clean and orderly work environment for all employees and guests (kitchen, stock room, coffee bar, etc.)
Office Administration / Vendor Management:
Manage purchasing and stocking of office supplies and scheduling maintenance of office equipment
Enter all new local vendors into Workday
Support mail room operations (i.e., picks and sorts mail daily, postage machine, fax and copy machines, manages incoming and outgoing FedEx shipments)
Assistance with onboarding new employees
Document preparation (review, print, bind) & business card ordering
Support the operations team with office policy implementations, upgrades, support, facilities, telecommunications, emergency preparedness and business continuity planning
Other duties as assigned

Background & Experience
Demonstrated experience should include:
HS Diploma or GED required, college degree preferred
Very good written and oral communication skills
A minimum of 1 year of front desk, concierge, customer service or other hospitality experience is preferred
Competencies:
Ability to follow instructions and procedures
Ability to deal and communicate effectively with all levels of staff and management
Warm and engaging demeanor; ability to assess circumstances, empathize and offer help
Have a positive attitude and a strong sense of urgency in resolving issues
Strong written and oral skills
Strong Microsoft Office Suite skills
Knowledge of office administrative duties
Good judgment, tact, and discretion
