The Computer Systems Facilitator manages NJ Smart data systems including SMID and SID data systems, staff schedules, and student schedules. The Facilitator works with the Student Information Systems (SIS) and Google Administrator to ensure that the information in the database is valid as presented. This position will ensure maintenance of internal controls and data integrity.

REPORTS TO: Supervisor of Guidance/Family Liaison

QUALIFICATIONS:

  • A working knowledge of relational databases and their application to education and administration. Ability to interpret and analyze data.

  • Experience administering the student information system (Genesis preferred) and with state and federal reporting for a NJ school district.

  • Bachelor's Degree (preferred) or experience in a job-related area and/or extensive experience supporting multiple application systems in an educational environment

  • Familiarity working with:

  • MicroSoft PowerPoint, Google Slides or other presentation software

  • MS Word and Google Doc software

  • Google Suite or other database software

  • Large-scale datasets

  • A team-oriented in a collaborative environment.

  • Demonstrate excellent organizational skills and ability to handle multiple projects and conflicting deadlines.

  • Exhibit a personality that demonstrates enthusiasm and interpersonal skills to relate well with staff and administration.

  • Demonstrate the ability to communicate effectively in English, both orally and in writing, using proper grammar and vocabulary.

  • Demonstrate the ability to use electronic equipment for word processing, data management information retrieval, visual and audio presentations, and telecommunications.

  • Have knowledge of applicable laws and regulations as they pertain to SMID and SID reporting.

  • Have excellent integrity and demonstrate good moral character and initiative.

  • Such alternatives to the above qualifications as the Board may find appropriate and acceptable.

RESPONSIBILITIES:

  • Maintain and comply with a list of student-related state and federal reporting requirements by utilizing the student databases and information systems, with applying knowledge of spreadsheets, databases, NJ SMART, and student information management systems i.e. Genesis.

  • Adhere to information security policies and regulations (FERPA, HIPAA, etc). Maintain integrity of confidential information relating to students, staff, or district patrons.

  • Perform the work involved in the installation, operation, and auditing of SMID, SID, and all district and state required data.

  • Compile personnel reports using various data sources as required or requested. Conduct investigations, examinations, and review of SID and related records upon request.

  • Collaborate with school administrators, Information Technology staff, faculty, and committees, ensuring a high level of technical support and customer service.

  • Work with schools and administrators in gathering SMID and SID related data.

  • Strong leadership, analytical and organizational skills. Ability to provide training and assistance to staff.

  • Experience in the reporting of school data.

  • Work with vendors to schedule updates, report problems, and troubleshoot problems.

  • Facilitate, complete and/or assist with all required student NJ SMART reports, as well as any required statewide assessment reporting and data analysis in NJ Homeroom.

  • Ensure the integrity of school district data and reporting. Provide timely data to support various users for application and reporting purposes. Support users and perform administrative functions to ensure the accuracy of information gathered from the special services and human resources department systems.

  • Export student-related data and importing test results from various testing platforms i.e. PSAT, SAT, ACT, ASVAB, NJSLA, etc.

  • Maintain and execute a list of district processes for communicating student data between departments or between the district and outside organizations such as school photographers and student assessment service vendors.

  • Collect data from varied sources, summarize, and analyze information for standard reports to building and school system administrators and the State Department of Education. Work with the district and state auditors to ensure data accuracy i.e. ASSA. Participate in the review of data for compliance with state standards. Apply and adhere to New Jersey laws and regulations for auditing in school districts, with positive audits for the desired objective. Run reports that verify SIS data and make appropriate corrections to data before submissions to the State Department of Education.

  • Recommend purchases and prepare an annual budget for the Student Information Systems Department.

  • To make recommendations to the Supervisor of Guidance/Family Liaison relative to keeping current with changes in the data requested by the state. Stay current on state and federal student data reporting requirements for the purpose of ensuring accurate and compliant data submission.

  • To maintain and ensure the accuracy of current student and staff data. Ensure accurate data is submitted to the State of New Jersey Department of Education through various reporting methods. Support the development of queries and scripts for the purpose of providing specific student data.

  • To develop and carry out a continuing in-service program for all teaching and related staff in the use and implementation of computers and appropriate applications packages. Develop and provide how-to-guides and videos to further assist staff districtwide on an ongoing basis. Creates SIS reference materials (e.g., "go-by's", quick reference guides, and protocols) for dissemination to end-users including, but not limited to, Registrars, Secretaries and Teachers. Assists in the delivery of SIS training to new employees and existing employees including, but not limited to, professional development for large group, small group, and drop-in settings. Assist with training in the administrative area at the direction of the Superintendent or his/her designee.

  • Maintain a list of student information-related software systems, the modules of those systems, and the data interfaces between those systems. Monitor and troubleshoot data interfaces between systems.

  • Run reports that verify SIS data and make appropriate corrections to data before submission to the State Department of Education.

  • Submit accurate SIS Reports to the State Department of Education prior to the deadline and maintain open communication regarding all SIS procedural changes.

  • Create and maintain accurate databases. Perform configuration changes, user role and user account creation/changes, and other administrative actions within the NJDOE Homeroom.

  • Continue professional education through reading, in-service and workshop programs. Attend all required and applicable meetings and training. Stay abreast of applicable laws and regulations as they pertain to SMID and SID reporting.

  • Maintain and protect confidentiality of records/information about staff and assignments; use discretion and judgment when sharing information within legal confines.

  • Adhere to federal statutes and regulations, New Jersey school law, State Board of Education rules and regulations, Board of Education policies and procedures, and contractual obligations.

  • Perform other duties as assigned by the Superintendent of Schools and/or designee.
