Position Description: The Village at Germantown is seeking a highly organized and motivated Companion Care Scheduling Coordinator. This role is essential in ensuring the smooth operation of our caregiving services by managing the recruitment, scheduling, and orientation of caregiving staff. The successful candidate will also assist caregivers in providing direct care to our residents, maintaining high standards of service and professionalism.

Essential Functions:

Recruit and schedule caregivers.

Complete required reference checks for desirable candidates.

Participate in and conduct departmental orientation and training.

Match caregivers with clients based on personality, skill, scheduling needs, and availability.

Maintain a complete and accurate visit schedule, tracking staff availability, cancellations, and shift changes. Arrange replacements for absent staff.

Organize and address caregivers' and clients' time off requests, scheduling changes, and other concerns.

Manage the clock-in/clock-out system, monitor case logs, and update client and caregiver records.

Communicate effectively with caregivers, clients, and the Companion Care Manager.

Provide on-call support as needed.

Assist with maintaining state-required files and documentation.

Verify all weekend shifts on Friday to ensure all needs are met.

Resolve client concerns in a positive and professional manner.

Assist with the continuing education of staff as needed.

Review and ensure the accuracy of the Telephony system daily.

Perform client visits to ensure satisfaction with services and adherence to company policies. Complete quarterly Supervisory Visit forms.

Foster a positive, "can-do" attitude and support team members in their daily responsibilities.

Demonstrate exceptional leadership qualities consistently.

SKILLS, KNOWLEDGE, CERTIFICATIONS, AND LICENSING:

  • Must be able to read regulations and patient records.

  • Must have legible penmanship.

  • Must be able to communicate in a courteous, friendly manner.

  • Must be able to navigate through simple computer programs and have basic computer skills/knowledge.

  • Must have exemplary communication and listening skills, motivating others and contributing to the staff's success.

  • Must be a leader and team player with the skill of a true self-starter.

  • Must have compassion and empathy for the geriatric population.

  • Good attendance and work ethic required.

PHYSICAL REQUIREMENTS:

  • Consistently presents a professional appearance. Wears clean, neat professional attire or provided uniform; clean shoes; name tag; no excessive jewelry; and short clean fingernails.

  • Must be able to talk and hear, including close vision and adjusting focus.

  • Regularly required to walk, stand, sit, use hands and fingers to handle or feel objects, tools, or controls; reach with hands and arms.

PHYSICAL REQUIREMENTS, continued:

  • Must be able to lift and/or move up to 50 pounds and be able to push a minimum of 200 pounds for a minimum distance of 200 feet.

LANGUAGE, MATHEMATICAL, AND REASONING SKILLS:

  • Ability to effectively present information and respond to questions from residents, resident families, co-workers, supervisors, etc.
