Summary:

The Community Relations Coordinator will handle a variety of logistics and relationships with Janelia's community partners. The coordinator will be dedicated to connecting Janelia with the local community, coordinating logistics for events, volunteer efforts, philanthropic efforts, educational partnerships. Reports to the Director, Innovations and External Relations. The coordinator needs to communicate in an easily understood and non-bureaucratic manner to volunteer scientists, administrators, and community members. The coordinator takes ownership of tasks and ensures the efficient planning and management of outreach activities; collaborates with Community Advisory Board, Charity Committee, and operational departments; fosters and maintains a cooperative relationship with Janelia Research Campus employees.

Essential Duties and Responsibilities:

  • Community Coordination

Organizing Janelia public lectures, coordinating with speakers and scientific hosts, coordinating logistics and working with the school system to ensure student attendance to events. Coordinating with educational forums and volunteers for science presentations; ensuring necessary materials and schedules are provided. Communicate with charities as needed for event participation and contributions. Maintain communication and support for community organizations as necessary.

  • Administrative

Deliver superior administrative support to Director, Innovation and External Relations, Janelia volunteers, and Janelia boards and committees. Coordinate with HHMI Communications and administrative departments for public communications and oversight of public activities. Create documents from rough draft, format documents, and proof and verify documents for accuracy. Schedule and coordinate meetings, activities of Janelia staff and visitors, conferences and special events. Coordinate activities between labs and other outside parties. Proficiency with the use multiple business applications is required.

  • Policies/Communications

Participate in, support, and prioritize a wide range of projects. Initiate projects by determining required tasks, identify appropriate stakeholders, coordinate meetings, and assemble and distribute data as necessary. Maintain community relations files and locate information in a timely manner. Gather and research data to create reports as needed by Janelia and HHMI administration. Answer routine and non-routine inquiries and respond to minor problems and/or complaints.

  • Building and Maintaining Relationships

In the course of all activities, the coordinator will need to establish and maintain relationships with a variety of stakeholders within HHMI, Janelia, and externally with the community. Diplomatically handling complaints will be necessary.

  • Other Duties.

Perform other duties as assigned based on administrative and volunteer needs.

Education and Experience:

  • Bachelor's degree strongly preferred or HS degree required.

  • Minimum three years of increasingly responsible administrative experience, preferably in a research environment.

  • Experience in community relations, familiarity with Loudoun County, Northern Virginia schools and organizations is highly desired

Knowledge/Understanding/Skills & Abilities:

  • Advanced skills with MS Office and Mac OS.

  • Ability to communicate information and ideas effectively, orally and in writing so others will understand. Tactfully communicates negative information in a persuasive and positive manner. Superior written and verbal communication skills.

  • Must be adaptable to changing priorities, can work evenings occasionally, possibly on a weekend and be flexible with work hours.

  • Ability to work as part of a team and support peers as necessary.

  • Ability to prioritize workload, set deadlines independently, and complete projects in a timely and efficient manner.

  • Ability to utilize internal resources and interact with all levels of the organization.

  • Cooperative and service-oriented attitude and demeanor.

  • Ability to learn tasks independently and to apply previous experience to develop new techniques. Actively seeks opportunities to increase skills and expertise. Remains technically and administratively current in job.

  • Excellent organizational and time management skills.

  • Excellent attention to detail. Ability to proofread and edit with accuracy.

  • Strong sense of urgency.

  • Fully understands the role of the Community Relations Coordinator and how the job relates to the organization.

Physical Requirements:

  • Occasionally lifts and/or carries objects weighing up to 20 pounds.

  • Occasionally stoops and bends.

  • Occasionally reaches and grasps with arms and hands.

  • Work is performed in a normal office environment where there are relatively few physical discomforts due to dust, dirt, noise, and the like.

Additional Responsibilities: * When necessary act in the place of the Community Manager in his/her absence * Assure that the policies, resolutions and other acts of the Board are carried out * Be knowledgeable of all Association Governing Documents, Rules and Regulations and general legal requirements of a community association * Provide excellent customer service and maintain open lines of communication with fellow Associates, homeowners and Board * Have general knowledge and understanding of building systems and components * Provide input and assist Community Manager and Board with the preparation of the Association's annual budget; assist with the daily implementation of the annual budget. * Perform basic recordkeeping/bookkeeping; be familiar with the chart of accounts and with the procedures involved in accurately coding expense requests and revenue postings. * Be familiar with the basic principles of financial management and bookkeeping, including the ability to interpret financial statements and review accounting schedules for the accuracy of posting entries. * Approve invoices necessary for timely transactions. * Assist with preparation of specifications needed for all services received by the Association (e.g., landscaping, snow, trash, insurance, pool, etc.) * Monitor the Association's Maintenance Schedule with the Association's Maintenance Supervisor to assure planned maintenance occurs, review annually the Maintenance Schedule with the Maintenance Supervisor to assure completeness of the planned procedures * Assist with bid process, review bid spec proposals and comparison spreadsheets and make board recommendations as appropriate. * Ensure maintenance of all files, records and correspondence in accordance with company procedures and good business practices * Maintain a log of all contracts/agreements with details as to type, vendor, expiration/renewal days, annual cost, payment terms, and point-of-contact both with the vendor and within the Community Association * Attend all Board meetings, where necessary * Provide excellent customer service and maintain open lines of communication with fellow Associates, homeowners and Board of Trustees.
