This client is a well-respected full-service community management firm. They deliver service to their clients through their team of experienced, trained and capable managers, and their knowledgeable, capable and dedicated support staff. This client's office is small with a casual, friendly atmosphere.The Community Management Administrative Assistant's main responsibility is to support the Community Management Department in the administration of the day-to-day operations of client community associations in order to meet the budgetary, maintenance and operational goals as established by the Board of Directors for each client community. Much of the position duties will be specific to one community association.  The Community Management Administrative Assistant reports directly to the Director of Operations. Hours: 8:00 am to 5:00 pm Monday through Thursday; 8:00 am to 12:00 pm Friday.

Responsibilities:
  • Support the CVCA Managers in the performance and completion of action items, including, but not limited to thefollowing:
    • Triage daily incoming voicemail/telephone calls, and email inquiries.
    • Become familiar with the operation and governing documents for CVCA.
    • Maintain current community information in software. The Community Manager will beresponsible for providing the Administrative Assistant with updated information.
    • Maintain listings of board members, committee members and other official volunteers. Assist the CommunityManager in gathering current contact information from current and new volunteers.
    • Assist in scheduling and reservation meeting rooms/facilities for CVCA board and committee members asneeded.
    • Perform administration of the architectural control process for the CVCA members, including receipt, scanning, logging, forwarding to committees, organizing committee meeting agendas and issuing finaldetermination to homeowners.
    • Provide administration of the community center rental process, the issuing of Tow Authorization Cards andthe acquisition of keys/fobs as needed.
  • Assist with other administrative office duties including posting mail, stuffing mailings, labeling envelopes, filing, etc.
  • Assist with other client administrative functions as assigned, including clubhouse rental, pool pass processing, annual meeting support, etc.
  • Assist with special projects related to updating, reorganizing and/or reengineering company administrative procedures.
  • Provide backup on the switchboard as needed.
  • Provide administrative support to the Community Management Department for the processing of casualty losses and/or insurance claims.
  • Perform other duties as assigned by the supervisor.
Requirements:
  • Ability to prioritize, coordinate and organize a schedule of assigned tasks.
  • Ability to analyze situations and respond effectively.
  • Ability to listen and effectively communicate both verbally and in writing with unit owners, residents, team members, contractors, and community volunteers, including the Board of Directors.
  • Ability to understand, learn and use software and equipment used in the office.
  • Ability to speak and write effectively.
  • Ability to address groups and respond in a positive succinct manner.
  • Position requires regularly inspecting the property, requiring the ability to walk for extended periods of time and climb stairs and other non-level terrain.
  • Ability to read PC screens and fine print.
  • While performing duties of the job, the position is frequently required to stand, walk, sit, use hands, reach with hands and arms, stoop, kneel, talk, and use a telephone and personal computer, including typing on a keyboard.
  • May be required to lift and/or move objects weighing up to 25 pounds.
  • A personal vehicle is required to drive to and from the office as well as the site office at CVCA.
