Purpose

The Customer Service Representative (CSR) in conjunction with the rest of the centre team plays a key role in delivering an exceptional professional and friendly service to all business centre customer, visitors and prospective clients.

The CSR is an extension of our clients business ensuring that they are able to concentrate on their work, while we manage their office needs

Key Areas of Responsibility

  • First point of contact for new and existing customers and visitors therefore providing an exceptional impression and service

  • Responsible for the day to day running of the centre and providing services including:

  • Managing switchboards; handling calls of various internal /external clients as well as various Regus areas of business

  • Managing meeting room booking system

  • Preparing offices for move-in/ move-outs

  • Responsible for maintaining and troubleshooting basic IT and telecom technical issues, set up and queries

  • Resetting Meeting Rooms to accommodate bookings

  • Administrative tasks- delivering their mail, answering their phones, sending their packages, ordering their office supplies,

  • Procurement

  • Demonstrate ownership of the centre to ensure the centre is 'show ready' at all times-

  • Ensure continual upkeep and standards of business centre to include offices, meeting rooms and communal areas

  • Contributes to the overall revenue of the centre by identifying opportunities to promote Regus products and services

  • Duties may vary depending on centre needs

  • Exceptional Customer Service skills, including the ability to remain flexible and calm in high pressure or continually changing situations

  • Effective and professional communication skills in both local language and English (written and oral)

  • Solid organisational skills, including the ability to prioritise and multi task in a demanding environment

  • Working knowledge of Microsoft Office Suite, including Word, Excel, PowerPoint and Outlook and the ability to understand further programmes to assist in the day to day centre operations

  • Ability to operate basic office equipment

FirstService Residential is currently seeking an Assistant Community Manager for a beautiful homeowners association in the Princeton, NJ area Primary Responsibilities:Manage and administer the day to day operations of the Community Association business. Maintain communication with Board of Trustees/Directors and homeowners. Work closely with the community manager on all manners of community financials and project management. Additional Responsibilities: * Assure that the policies, resolutions and other acts of the Board are carried out * Be knowledgeable of all Association Governing Documents, Rules and Regulations and general legal requirements of a community association * Assist with the daily implementation of the annual budget, perform general financial management and recordkeeping * Assist Association and In-House counsel on collection matters and monitor maintenance fee accounts * Assist with preparation of specifications needed for all services received by the Association (e.g., landscaping, snow, trash, insurance, pool, etc.) * Assist with bid process, review bid spec proposals and comparison spreadsheets and make board recommendations as appropriate. * Ensure maintenance of all files, records and correspondence in accordance with company procedures and good business practices * Attend all Board meetings, where necessary * Assist with preparation of Board meeting agenda, monthly management report and all other reports and material needed for Board Packet * Assist with establishing an annual calendar indicating all association activity, deadlines, election, meetings, projects, etc. * Assist all walk-in homeowners and refer to Community Manager, when necessary. * Maintain Association filing -- homeowner filing, correspondence, work orders, accounting documentation etc. * Mailings, as needed and required. * Recordkeeping -- binders to be kept with the following: Monthly Agendas, Modification Requests, Work Orders, Financials (including Social/Trip accounting). Skill Requirements: * Bachelors Degree of Higher strongly preferred * Strong organizational and administrative skills * Strong written and verbal communication skills * Excellent word processing, mathematic and computer skills required * 2+ Years of customer service experience in high traffic environment.
