(Currently working remote but will return to office - must be willing to relocate or currently live in the Chicagoland area)

General Overview

Are you excited to be part of a global communications team working to build the brand of an organization making a difference around the globe? This role provides support to the Rotary Communications team and to the Chief Communications Officer.

Are you great with colleagues and able to take initiative and work independently? We need a dedicated team member who can support significant communications group projects. This includes facilitating teamwork among the broader team by tackling administrative functions efficiently and responding to inquiries from members around the globe.

Do you have great organization skills? The Communications Coordinator helps with planning and execution on initiatives and assists on special projects.

You Will Be Responsible For: Coordination and Support

This Also Includes

  • Your key responsibility is coordinating activities under the General Manager and for the broader communications team. This includes providing administrative support such as presentation preparation, meeting agendas, outcomes and setup, handling communications to colleagues and Rotary club members.

  • Support the team for meetings of the Board of Directors, Rotary Foundation Trustees and Communications Committee, including communication with members, drafting items for advance materials, preparing meeting minutes, and ensuring timely distribution of those items.

  • Coordinate contract review process for significant communications agency vendors.

  • Liaison with the Finance Team, coordinating the meetings and review of the $20M plus communications budget.

  • Coordinate planning and execution of communications initiatives and projects as assigned.

Communications

In this role, you are communicating and interacting with constituents, colleagues and others. The position is responsible for:

  • Handling inquiries to the communications team, responding to general inquiries via email or phone.

  • Maintaining and writing materials for internal portal pages, SharePoint and MS Teams.

  • Responding to Rotarian requests for marketing materials.

Administrative

  • Drafting key presentations for internal and external events.

  • Preparing expense statements and reconcile corporate credit card expense reports.

  • Maintaining key Communications group electronic files (budgets, contracts, etc.)

  • Coordinating procurement services for the group by creating purchasing orders and managing contracts.

  • Serving as the liaison to the Rotary Finance team.

  • Maintaining staffing updates

Other Duties As Assigned

Other duties may include, but are not limited to, working with Rotary's customers on inquiries, and working on special projects.

Essential Job Functions: * Refine and execute a strategic communications plan. * Develop and manage an integrated communications calendar. * Establish and manage production schedules to track and fulfill all project deadlines. * Act as the primary liaison with partners in Corporate Communications. * Provide leadership oversight and supervision to the Donor Relations (stewardship) function. * Source and develop stories that effectively demonstrate philanthropic need and the impact of giving.
