We are looking for a professional communications coordinator to join our dynamic in-house team. This near entry-level position is suited for the candidate with some experience in multiple aspects of communications who would support both our internal and external communications activities. This role will gain exposure to all levels of the organization and will work across functions to help deliver a cohesive message to the organization and our external stakeholders.

Duties will be diverse and multi-faceted, therefore excellent interpersonal and prioritization skills are vital for this role. The ideal candidate will help enhance the team's overall digital media proficiency.

The successful candidate will contribute to the development of the company website, project manage our workflows, organize meetings and presentations, and interact with our stakeholders.

Working knowledge of current communication channels and platforms is essential.

RESPONSIBILITIES

Project Coordination

  • Plans communication activities according to business objectives.

  • Project management of internal and external editorial calendars with cross-team collaboration to determine a regular cadence for communication. Outreach to stakeholders to support deadlines.

  • Executes communication projects, including a website building project, in a timely and effective manner and on budget; supports others' projects in same manner.

  • Serves as a check and balance for departmental activities, helping prioritize and re-prioritize; fill in support as needed.

  • Responsible for vendor invoicing management and coordination with providers.

Digital Media Advisor & Support

  • Works with external communications to determine best practices for social media channels; researches key platforms to improve efficiencies.

  • Supports all aspects of social media-monitoring corporate and peer channels, preparation of content, reporting to internal stakeholders; continued monitoring of social media algorithms to remain relevant in the market.

  • Proactively builds relationships with internal business stakeholders to develop social media stories.

  • Prepares quarterly and as needed social media reports to showcase activities across our channels; highlights successes and lessons learned.

  • Works collaboratively to develop content for key social channels; supports employees to prepare appropriate individual content.

  • Website project planning and content improvement support; research best practices for optimal SEO.

  • Production studio support for internal communications.

  • Slide deck preparation and support.

Internal Comms Project Advisor

  • Co-opts functional managers in strategic communication planning process to ensure appropriate buy-in and prioritization of resources.

  • Internal client project advisor, supporting content and collateral development.

  • Drives focus on work with tangible business outcomes.

  • Creates communication plans for all initiatives that clearly demonstrate the link between desired business outcome and chosen communication activities and creates engaging content that supports communication plans and overall communication objectives.

Reputation Management Support (brand and media)

  • Assists communications team in managing brand standards and portal updates and improvements.

  • Assists department lead in managing the corporate brand with a focus on consistently applying messaging and visual identity across communication channels and initiatives.

  • Earned media tracking and reporting.

  • Reviews and supports editing of any documentation produced by the communications team, as needed.

SKILLS & COMPETENCIES

Project Coordination

Demonstrates ability to move quickly from one assignment to another. Understands the importance of maintaining a consistent corporate brand. Coordinates and applies visual identity and messaging brand guidelines across all communication initiatives.

Social Media

Understanding of key social channels (LinkedIn, Facebook, Vimeo, YouTube, Instagram) and how to leverage from a corporate standpoint. Working knowledge of posting, reporting, and understanding of metrics and algorithms. Ability and willingness to research best practices for meaningful improvements and increased visibility.

Project Management

Operates efficiently and prioritizes efforts correctly in an environment with multiple internal and external stakeholders. Develops schedules and budgets and effectively tasks people. Can handle complexities in queue among internal stakeholders, multiple communication channels, content creators, and/or agencies.

QUALIFICATIONS

Education

Bachelor's Degree or equivalent in communications, journalism, public relations, or similar

Years of Experience

1-2, strongly prefer PR agency experience

Specific Experience Required

Technical - working knowledge of MS Office suite, particularly PowerPoint and SharePoint, Word, and Excel; WordPress; Adobe creative suite a plus

Communication - excellent verbal and written communication capabilities

Language(s) - English (primary); second language a bonus

Direct: no direct supervisory requirements

Indirect: manage suppliers, freelancers, and consultancies a plus
