Key Responsibilities:

Proposal Support

  • Interact with all areas of the organization including Business Development, Operations, and Communications and new business partner prospects.

  • Coordinate the development, completion, and submission of responses to requests for proposal/bid with knowledgeable, developed, and articulate responses.

o Create and manage a timeline to meet RFP submission deadlines.

o Assist in gathering data/content from respective Subject Matter Experts (SMEs) for proposal responses.

§ Conduct research to gather relevant data, statistics, case studies, and references to support RFP responses.

§ Collaborate with internal teams to obtain the latest information on offerings and capabilities.

o Develop and write RFP responses, ensuring they are clear, concise, and aligned with the client's needs.

o Customize boilerplate content to address specific RFP requirements while maintaining consistency in messaging.

o Ensure responses are received or followed up on to meet varying due dates.

o Provide initial review and edit of all proposal graphics and text inputs and suggest iterative draft changes as-needed.

o Coordinate internal reviews and approvals to ensure timely completion.

§ Ensure that RFP responses adhere to all client requirements and compliance standards.

o Conduct thorough proofreading and quality checks to eliminate errors or inconsistencies.

o Ensure the company brand/message/tone are consistent throughout the document.

o Oversee proposal process from beginning to end.

§ Print/assemble/ship final proposal documents.

o Creation of No Bid letters; delivery to VP, Commercial Development.

  • Execute the delivery of business development support - e.g. collateral, case studies, etc.

  • Ensure continuous improvement and implementation of best practices within the department and across the organization.

  • Misc. administrative duties that may arise at any given time.

Tradeshow Support

  • Manage tradeshow strategies/calendar, event planning and coordination.

o Coordinate membership in trade organizations.

o Register respective brand for each local and/or national show company plans to attend.

o Complete ordering of show services.

o Coordinate handling and shipping of booth assets/collateral.

o Manage, track, and ensure vendor timelines are met and process payment requests.

o Research and provide hotel and venue information to team.

o Develop and manage attendee/exhibitor list for each tradeshow/conference.

o Research/order promotional giveaways for each respective brand/show.

o Collaborate with Commercial and Communications teams to assist with design and asset creation.

o Coordinate pre-, during, and post-show marketing material needs and advertising opportunities.

  • On a limited basis, overnight or multi-day travel to assist with tradeshow setup or booth staffing.

EDUCATION AND EXPERIENCE

  • Bachelor's Degree in Marketing, Communications, Business Administration or related field required and 2-5 years of experience in a commercial/business development role preferred.

  • Proficiency with Microsoft Office Suite.

  • Experience with design software, e.g. In-Design, Photoshop, Illustrator, (or similar program) is preferred.

  • Previous experience managing trade show booths and life cycle of events a plus.

  • Experience in the preparation and execution of sales proposals (RFPs, RFIs, etc.) with an understanding of selling strategic and service-related industries to state, local, and education (SLED) markets, passenger transportation preferred.

  • Effective time management, organizational skills, and strong follow-up are necessary.

  • Experience working in a fast-paced environment with proven ability to prioritize and multi-task to meet deadlines; May need to work beyond standard hours during peak periods.

  • Demonstrated solid judgment and ability to handle confidential information.

  • Excellent verbal and written communication, presentation, and interpersonal skills.

  • Ability to travel to quarterly team meetings and company events, if needed.
