Project Coordinator - The Project Coordinator provides superior internal client support for project teams across Project Development and Development Services (PDS) business unit.
Project management and owner's representative responsibilities
Prepare project management reports and meeting minutes
Manage all project documentation including contracts, budgets and schedules
Maintain best practices templates on SharePoint site
Manage accounts receivables according to the guidelines and requirements set by the PDS Markets Lead or project team
Ensure that all accounts receivables are maintained at a level not to exceed planned working capital charge as set by corporate finance, the project team and/or the PDS Markets Lead
Assist local team in meeting targeting financial numbers on a Regional and National level as determined on a yearly basis by the Management Executive Committee
Responsible for smaller marketing functions including presentations, responses to proposals and research
Proactively manage project-related issues on account or assignment
Demonstrate proficiency in the use and application of all project management technology as required for assigned projects
Ensure all staff issues are addressed properly, efficiently and judiciously, and keep track of progress until resolved
Communicating with the team on key accomplishments and successes
Managing JLL's expense report process by ensuring staff is in compliance with the process
Thorough meeting and event planning for both onsite and offsite locations from 2-20+ people; includes WebEx, meeting requests, booking rooms, catering, agendas, notes, etc.
Coordinate administrative projects as assigned
Ensure team is in compliance of administrative operational policies and procedures
Identify, recommend, and implement solutions to departmental operations process issues
Create, prepare and distribute PDS correspondence and presentations
Demonstrate a high level of integrity and ability to maintain confidentiality of highly sensitive material with professionalism
Ensure project closeout process has been completed by each project manager
Ensure Philadelphia PDS team is in compliance with JLL PDS benchmarking/data accuracy goals (case studies, cost saves, synergy, client satisfaction surveys, etc.)
Marketing collateral: ; collaborate with the internal JLL marketing department and business lines (including outside Philadelphia market) to ensure marketing materials are tailored for the Philadelphia market for cross-selling opportunities
Assist with the creation of content, organize and manage the PDS response for proposal (RFP) process. Drive the process to ensure templates conform to JLL brand standards, ensure appropriate template for scope of work is used, and customize proposals to include prospective client information, case studies, etc.
Bachelor's degree in accounting, business, architecture/ engineering, interior design or construction management
3-5 years of practical experience
Accounting experience or previous real estate support roles for brokers or project managers
Strong interpersonal skills with the ability to interact with executive level internal & external clients
Organizational & detailed-oriented with the ability to prioritize and manage differing needs of the business
Basic proficiency with Microsoft Office products
Experience with MS Project a plus
