SUMMARY

This position will support the new equipment Commercial Operations team to deliver on time, high quality proposal (RFI, RFP, etc.) responses while maintaining accurate and complete records of the process. Coordinate across functional disciplines to obtain necessary content which is aligned with customer requests.

Lead the process of maintaining document archives satisfying department needs and ISO requirements. Duties include coordination and communication between other Commercial and Sales team members, engineering, marketing, and customers.

2.0 ESSENTIAL DUTIES & RESPONSIBILITIES

Create commercial proposal documents (both electronic file and hard copy) that are of the highest quality with regards to format, layout, visual impact, and initial customer perception;
Support the team throughout proposal process, aligning with customer schedule to ensure on time and overall execution success;
Ensure relevant document templates are up to date to support the proposal process;
Work with multiple internal departments to obtain necessary content for commercial proposals; edit content to provide consistent language and style throughout the entire document;
Review customer requests to determine necessary requirements for the proposal content (e.g. specific documents, layouts) and adjust accordingly;
Protect company confidential information by not communicating, disclosing, or using for benefit of third parties and supports efforts to create and execute non-disclosure agreements during proposal development efforts;
Coordinate all major equipment delivery commitments and internal approvals;
Develop and maintain an electronic library to archive all documents which are part of, or developed during, the commercial proposal process; system shall satisfy needs of the department and ISO requirements;
Prepare for, and lead, the department efforts to participate in internal and external process audits;
Provide periodic reporting on the current status of the proposals to senior business leaders, and produce sales reports and provide necessary follow-up to assure information provided to management is accurate;
Become a "power user" of the CRM system managing all customer bid information;
Support Commercial and Sales Operations initiatives, including but not limited to: project pipeline database development, Mitsubishi Power process and procedure development, standardization of proposal document templates and presentation templates, forecasting, and bid Win/Loss analysis;
Envision, develop and communicate strategies, plans, and goals for the request for proposal response;
Support and foster a culture of respect and continuous learning;
Develop, measure, and take action on individual and proposal performance metrics;
Perform such other duties as may be required.

3.0 OTHER DUTIES AND RESPONSIBILITIES

Achieve all objectives within Mitsubishi Power Americas commercial process compliance with unyielding integrity;
Comply with all safety policies, practices and procedures reporting all unsafe activities to Management and/or Human Resources.
Minimal overnight travel by land and/or air.
Participate in proactive team efforts to achieve departmental and company goals.
Contribute to building a positive team spirit.
Communicate effectively with all levels of employees.
Protect company confidential information by not communicating, disclosing to, or using for benefit of third parties.
Maintain the highest degree of honesty and integrity at all times.

4.0 KNOWLEDGE, SKILLS & EDUCATION

Education and/or Experience: Bachelor's degree from four-year College or university; 3-5 years of related experience and/or training preferred; or equivalent combination of education and experience. Engineering or Business degree and specific experiences in technical proposal preparation and document archiving are preferred.
Language Skills: Effective writtem, oral, and interpersonal communication skills in English. Ability to read, analyze, and interpret general commercial documents, procedures, or regulations. Ability to write reports, business correspondance and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
Mathematical Skills: Ability to work with mathematical concepts such as probability and statistical inference, and fundamentals of plane and solid geometry and trigonometry. Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
Reasoning Ability: Analytical skills. Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
Computer Skills: Proficient in Adobe Pro, Microsoft Office (Word, Excel, Outlook, PowerPoint, Power BI), SharePoint, and Microsoft Dynamics or equivalent CRM tool (Salesforce, etc.); knowledge of database software; project management software; graphics; technical diagrams; flow charts, technical reports, etc. Adequate computer skills and understading of the MS OFFICE and MS OFFICE 365 suite of applications are required.
