General Responsibilities

Incumbent will facilitate the accurate and timely closing/funding of commercial credit transactions including assigning and tracking completion. S/he will assume the primary role in the review of commercial loan closing and renewal transactions to ensure that all conditions are translated into the legal documents and the loan is closed in accordance with the approval. Additionally, s/he will ensure the timely and accurate booking of the loan transaction, resolution of outstanding document issues, and post-closing file review. Incumbent will also be assigned a portfolio of commercial loans for on-going administration.

Key Responsibilities and Accountabilities

The Commercial Loan Administration Supervisors Key Responsibilities include, but are not limited to the following:

  • Provide on-going administration to highly complex credits including but not limited to construction, revolvers, borrowing base, A & D, participation, syndication and SBA loans

  • Serve as trainer to junior administrators

  • Review and approve work of junior administrators as necessary

  • Participate in special initiatiatives and projects as assigned by manager

  • Monitor team members participation to ensure the training they are being provided is being put into use and also see if additional training is needed

  • Manage flow of day-to-day operations

  • Provide information about the performance of the team and/ or specific individual

  • Reviewing and approving draft documents pre-closing

  • Facilitating closing process with all parties (CRM, Legal, Borrower)

  • Ordering inspections and appraisals as required

  • Booking loans to the system (both core and TCL if applicable)

  • Funding at initial closing as required

  • Providing on-going administration of loans as needed

  • Quotes payoffs and process payments

  • Reviewing of construction budgets and plan& cost reviews

  • Ensures the accuracy of data maintenance, file maintenance and tickler maintenance

Supervision of Personnel

  • One to three Commercial Loan Administrators

Working Conditions

  • This position is performed in a regular office work environment. Must be able to work independently from remote locations and within the office environment. The incumbent will be expected to be able to work Monday through Friday and work will mainly be performed at the Maitland location; occasional evening and weekend work may be required. Flexibility with work location and hours may be granted if circumstances permit.

Qualifications Summary

Education

  • Associates degree in Business or equivalent work experience.

Experience

  • 10 plus years of related work experience in commercial loan administration and loan documentation. Previous supervisory experience required. Experience and demonstrated ability to understand complex loan structures and reviewing complex loan documentation. Familiarity with CSI core system preferred.

Knowledge & Skills:

  • Attention to detail and ability to work under pressure.

  • Critical thinking is crucial.

  • Teamwork and customer service skills required.

  • Oral and written communication skills a must.

  • Proficient in Microsoft Office applications, including Excel and Word.

  • Must possess intermediate math and basic accounting skills.

  • Knowledge of SWAPS is a plus.

  • Knowledge of LaserPro preferred.

  • Understating of complex loan documentation in CRE, C&I and construction loans.

General Responsibilities The incumbent is a working manager who oversees and also documents, boards, closes, funds and administers commercial lines and loans, mortgage loans, and consumer loan products (including direct, indirect, and credit cards). The loan administrative functions are required to be timely, accurate and comply with approved credit memoranda, accounting guidelines, credit policy and regulatory guidelines. This function maintains operational risk controls that satisfy compliance, finance and management standards and procedures. The function manages multiple flows of activities within Loan Administration, including working with third party servicers, vendors, external legal counsel and internal/external clients of the Bank. Management responsibilities include ensuring department objectives, as well as staffing and training needs are met. The incumbent serves as a subject matter expert to underwriting and production staff related to operational and documentation requirements. Key Responsibilities and Accountabilities The Commercial Loan Administration Managers Key Accountabilities include, but are not limited to the following: * Ensures the accuracy of data maintenance, file maintenance, tickler maintenance, payoff calculations, required reporting, and compliance with operating procedures, policy and regulations. * Oversees complex commercial loan closings/transactions to ensure correct structure, and that loan documentation is prepared in accordance with approval, and loan is boarded accurately into core and supplemental systems (TCL). * Reviews construction draws to ensure draw requests are in proper form, adhere to loan documentation and Banks interests are protected. * Oversees preparation of loan documents, funding, maintenance and payoff of consumer loans. * Directs and manages boarding of purchased mortgage loans to third-party systems and Banks core system. Serves as liaison with third party servicers to ensure SLA are being met. * Directs and manages warehouse line advances to ensure timely funding and that all remain in compliance with loan agreement. * Prepares for and coordinates audits with various agencies (FHA, Federal Reserve Bank, OCC, etc). Expectation of zero audit exceptions as it relates to scope of responsibility. Performs periodic self-audits of all areas of responsibility. * Responsible for managing staff including but not limited to, staffing, performance reviews, scheduling, development and workflow priorities. Supervision of Personnel * Direct Commercial Fulfillment Specialists, Loan Servicing Specialist, and Consumer Credit Coordinator. Ability to manually calculate interest paid to date, interest accruals, prepayment penalties and loan payoffs * Familiarity with Fiserv preferred * In-depth knowledge of banking regulations and servicing of all types of loans * Demonstrated ability to effectively coach and develop staff * Attention to detail and ability to work under pressure. * Ability to prioritize and adjust daily routines of staff to satisfy customer service standards and turnaround expectations. * Superior oral and written communication skills a must.
