FRONT DESK RECEPTIONIST/COMMERCIAL
ADMINISTRATIVE ASSISTANT
MADISON, WI
We are looking for a responsible, reliable, and talented Front Desk Receptionist/Commercial
Administrative Assistant. The Front Desk Receptionist/Commercial Administrative Assistant is ideal for someone who enjoys working in a busy, customer-service oriented environment with a variety of people.
This position is our first point of contact for our customers/guests. Additionally, this position provides a broad range of administrative support to our Commercial Department and other departments as needed.

Duties:
Greet clients, vendors, and visitors
Greet and direct job applicants/candidates
Answers all calls on multi-line phone system, page employees, transfer calls
Direct pick-ups to the warehouse
Sign for deliveries for the office
Handling all in-coming and out-going mail - open all invoices, sort, and place in designated areas
Run postage meter - ensure mail and checks are prepared for daily pick-up/mailing
Send out invoices and statements, as needed
Maintain copy and fax areas
Order office supplies and safety supplies
Order all printed materials for the company and maintain vendor files
Maintain SDS books in Distribution Center, maintain books/product/vendor indexes
Process residential customer service requests
Prepare letters and other documents using word processing, spreadsheet, database, or presentation software for various departments
Courier Duties - order/pick up lunch for various meetings, drop off supplies, deliver overnight mail or regular mail to appropriate location
Maintain petty cash for copy machine and postage
Produce proposals, warranties and submittals for Commercial Sales staff
Maintain computer files for Commercial Sales staff
Place sample orders for Commercial Sales staff
Place order add-ons
Receive and log-in samples for Commercial Sales staff
Maintain Commercial Sample library and sample stacks in a neat and orderly fashion
Maintain Expeditor logs and other job-related information into computer systems
Send out maintenance and product warranty information, as requested
Copy and distribute price lists, maintain price lists for Commercial Department and update vendor pricing on computer
Habitat for Humanity order
Other duties as assigned
Qualifications:
Education and/or Experience
High School Diploma; Associates Degree preferred in related field
At least 3 years of experience in a receptionist/administrative position
Knowledge of office procedures
Customer service oriented
Floor Coverings or construction related experience desirable
Mathematical Skills
Computer Skills
Knowledge of proprietary software systems (RFMS)is desired, but training is provided
Knowledge of Microsoft Outlook, Word, Excel, and Internet communications software
Excellent typing and data entry skills
Communications Skills
Knowledge and ability to use a multi-line telephone system
Excellent verbal and written communication skills with emphasis on phone
Must possess good listening skills and be empathetic
Must be well-spoken and present yourself in a professional manner
