Position Title College Credit Plus Records Clerk Job Description
The Records Clerk for the College Credit Plus (CCP) Program at Ashland University will be responsible for managing and maintaining accurate records and documentation for students applying to and enrolled in the CCP program. This role requires a high level of organization, attention to detail, and the ability to handle sensitive information with confidentiality. The Records Clerk will support the program's administrative functions, ensuring compliance with state and institutional policies.
Organize and file physical and electronic student records and other documents related to the CCP program.
Provide assistance for students with the enrollment and registration process at high schools.
Input and verification of ACT scores, transcripts, high school, contact information, book information, enrollment, state required forms, and SSID number.
Support scalable solutions for a digital common CCP application and advising process.
Track Option A enrollment for self-pay students and Option B for home school and private school students.
Copy records and student requests for CCP advisors.
Assist the CCP Director with administrative tasks as needed.
Schedule and coordinate meetings, appointments, and events related to the CCP program.
Generate reports for director, faculty, and administrators and assist in preparing data for state reporting and compliance audits.
Collect transcripts and CV's from adjunct instructors and collaborate with internal departments that need this information.
Prepare and distribute communications, such as emails to students with account set-up instructions, and newsletters and informational materials to stakeholders.
Distribute course outcomes and student grade reports to high schools.
Ensure compliance with FERPA (Family Educational Rights and Privacy Act) and maintain the confidentiality and security of student records at all times.
Perform other duties as assigned to support the successful operation of the CCP program.
Required Qualifications
High School diploma or equivalent
Previous experience in records management, administrative support, or a related field, preferably in an educational setting
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with database systems
Strong organizational skills and attention to detail
Excellent written and verbal communication skills
Ability to handle confidential information with discretion
Customer service-oriented with the ability to work collaboratively with students, faculty, and staff
