COLLECTIONS CLERK - ACCOUNTING

Position Summary/Objective

The Collections Clerk is primarily responsible for pursuing and collecting all delinquent accounts for the Company, by administrating all collection processes and procedures for the most effective collections results.

Essential Duties and Responsibilities

  • Pursue collections on all delinquent accounts (current and past residents)

  • Provide professional customer service for residents and internal departments

  • Generate and prepare correspondence and notices regarding payment discrepancies, outstanding balances, and court information to couriers

  • Determine which accounts should be processed for eviction, in accordance with company policy

  • Prepare eviction filing with outside Attorney's

  • Obtain documentation requested for legal hearings and provide to Attorney's by required deadlines

  • Assist with verifying debt, preparing accounts, and providing documents for approval for turnover to an outside collection agency

  • Prepare delinquency reporting for Property Managers

  • Coordinate vacancy inspections for evictions and delinquent residents

  • Analyze ledgers for accuracy and process adjustments as necessary

  • Keep detailed notes within Property Management system and spreadsheets for any correspondence made with residents

  • Answer incoming calls and email inquiries from residents and make outbound calls

  • Manage the shared email box for resident questions

  • Update Salesforce for eviction updates

  • Manage the shared eviction spreadsheet

  • Act as a backup for the A/R Clerk position

  • Other duties as assigned

Minimum Qualifications (Knowledge, SKILLS, and Abilities)

  • Attention to detail and willingness to follow proper policy and procedures

  • Must poses exceptional organizational skills

  • Ability to cross train on other tasks as needed, and to provide backup coverage for other positions within the AR/Collections department

  • Capability to preform general office duties such as filing, answering phones and emails, making outbound calls and routine correspondence

  • Experience with computerized accounting systems, Microsoft office software, and standard office equipment (copiers, calculators, computers)

  • Valid Driver's License is a requirement

Grow with us as we continue to expand our network of locations and services.</p><p>Responsibilities:</p><ul><li><p>Check in all daily incoming shipments for all vendors by comparing actual count to packing slip.</p></li><li><p>Post all incoming packing slip into the computer. Follow all company procedures for shortages or damaged parts.</p></li><li><p>Process all incoming stock orders within 24 hours.</p></li><li><p>Put away all incoming stock in the appropriate bin location as indicated in the computer. Ensure that all parts put into stock are properly labeled with a barcode bin label.</p></li><li><p>Locate all new parts posted into stock determine the correct location and make changes in the computer along with labeling new parts.</p></li><li><p>Check in all incoming interbranch shipments from all branches by comparing actual count to the packing slip.</p></li><li><p>Process all inter-branch packing slips into the computer. Generate a picking list and places parts in the appropriate area for delivery of shipment.</p></li><li><p>Dispose of any packing material not needed after each shipment is checked in.</p></li><li><p>Pull all customer orders as indicated on the picking list and place in either will call, package for shipment, or dispatch for delivery.</p></li><li><p>Keep the parts warehouse clean and organized. Follow all corporate safety guidelines and policy.</p></li><li><p>Maintain all parts in &quot;will call&quot; by ensuring that all parts pulled are placed in the appropriate &quot;will call&quot; bin and all paperwork associated with the order is placed with the parts.</p></li><li><p>Maintain all junk core inventory by ensuring that all cores are checked in and tagged with the customer information, original invoice number and credit memo number. Place all junk cores in the assigned area and returns weekly. Ship or dispatch delivery of all cores to respective vendors.</p></li><li><p>Dispatch parts drivers to addresses indicated on the sales invoice or purchase order.</p></li><li><p>Must be able to read a map and develop specific driving directions and instructions to be provided to each driver as needed.</p></li><li><p>Process and maintain all returns by properly putting up all parts being returned from customers. Ensure that parts are in new re-saleable condition.</p></li><li><p>Must file freight claims for any shortages or damaged parts received within 24 hours of receipt.</p></li><li><p>May be required to serve as backup to Parts Driver in the event of absence or emergency delivery.</p></li><li><p>Pull returns to go back to vendor.
