Summary:

The Coding Apprentice reports to the Manager of Physician Coding and Supervisor. Performs duties necessary to ensure optimal coding and data entry of the charges as well as resolve claim issues (such as diagnoses CPTs and modifiers) in the work queues. Works with front office staff when necessary and may assist in investigating and resolving denials.

Responsibilities:

Verifies payer eligibility and that pre-authorizations and referrals are in place. Enters or updates patient demographic information.

Crosswalks codes when required. Reviews accuracy of coding for procedures billed globally.

Enters all charges within two business days of date of receipt. Reviews and analyzes charge edits reports. Resolves claim edits and rejections identifies the root of the issues recommends changes to prevent future edits and corrects claims as needed.

Reconciles encounter forms to charges entered. Audits encounter form for appropriate assigned physician prior to claims submission.

Logs and date stamps incoming work received from clients and front office staff and give to Coding Manager for assignment to staff.

Performs other duties as assigned.

Other information:

BASIC KNOWLEDGE:

High school level of knowledge or equivalent.

Certification in procedural coding (preferably CPC-A).

Experience with CPT ICD-9/10 and HCPCS coding guidelines as well as reimbursement policies and procedures.

Ability to use computer applications including Invision/SMS eClinicalWorks Epic or other practice management system Excel Word Adobe Reader Microsoft Outlook and third party payer websites.

EXPERIENCE:

Strong organizational skills and follow-through required.

Able to meet deadlines and work well under pressure.

A normal office environment with some exposure to patients with illnesses or injuries.

A key constituent of the revenue cycle organization-wide this position contributes to Lifespan Corporate Services� financial strength compliance and overall performance by serving in a directorial capacity for coding and related functions. As such the Ambulatory Coding Director will be responsible for the operational leadership and day to day oversight for (LPG Physician Practice and Hospital Clinics). This leader is responsible for the planning implementation execution and management of all clinical revenue capture assist with clinical documentation improvement coding and quality assurance required to provide the institution with accurate reliable and timely revenue recognition of its clinical services provided to its patients. The Ambulatory Director will establish strong relationships across the organization maintaining visibility and fostering a culture focused on quality operational improvement and accountability. This position will work closely with Revenue Cycle HIM and Finance leadership to collaborate on advancing strategic direction and efficiency. Ensure all functions are in compliance with applicable regulatory guidelines and accrediting standards. Represent Lifespan in matters related to operational performance of the Coding department. Responsibilities: Develops and implements short and long-term goals of outpatient coding in consideration of Lifespan�s mission values and key business objectives. Provides sponsorship to the function by identifying resources required to achieve the operating results and advocates for them during resource allocation. Provides input into the development of the capital and operating budgets. Oversees and adheres to budgets for Lifespan outpatient coding activities; monitors same investigates and resolves variances. Serves as an internal consultant and educator on outpatient coding issues. Monitors changes in legislation that affect coding. Works with the Director of Hospital and Physician Revenue Cycles to forecasts the healthcare system�s future technical and informational needs as it relates to outpatient coding. Develops and deploys health information coding systems. Directs the effective utilization of resources (people financial material and equipment) to meet established goals and objectives of Lifespan affiliates. Implements agreed-upon operating priorities to ensure activities support the system�s strategies while maintaining fiscal responsibility. Ensures effective recruitment selection development and evaluation of management and technical staff to optimize achievement of goals and objectives. Directs health information systems activities related to coding activities for outpatient service area. Ensures staff is thoroughly trained in usage of ICD-10/ICD-10 CM/PCS CPT-4 and HCPCS coding procedures in order to accurately reflect the services delivered to patients. Provides strategic planning and direction for the development delivery and enhancement of hospital clinic and LPG physician coding functions. Ensures that goals and services provided by department and staff are aligned with organization key performance indicators goals and objectives. Coordinates educational sessions and resource materials necessary for Coders to remain abreast of coding guidelines and new technology. Manages processes and methods for conducting internal and external audits ensure medical coding quality and compliance requirements/standards are met or exceeded. Accountable for ensuring that hospital Clinic & LPG Physician reimbursement/payment/ revenue for patient care services/treatments/procedures is optimized legitimately and ethically by managing the utilization of approved medical coding and abstracting practices principles techniques guidelines and conventions. Motivates facilitates mentors and coaches team to deliver high quality cost effective services. Facilitates the ongoing learning well-being professional satisfaction and development of staff through training work assignments increased responsibility and mentoring. Evaluates performance of direct reports and teams. Makes recommendations for personnel actions and motivates employees to achieve peak productivity and performance. Maintains Clinic & Outpatient Coding with high command of the Revenue Cycle the cause and effect of department charges and documentation claim edits and denials coding modifiers and the relationships of billing and coding edits. Develops procedures and policies for the operation of department process and team members. Develops department budgets for staffing operations and capital resources. Manages actual costs to budget and proactively address any unfavorable budget variances. Maintains a strong collaborative relationship and provide clear communication with all facilities. Presents data strategies and progress toward goals in various governance management forums. Actively monitors operational performance to anticipate and meet the needs of leadership. Maintains revenue cycle KPI�s within established industry and/or Lifespan standards and instills accountability and ownership at the appropriate level. Meets with department leaders to review and interpret revenue cycle reports to drive accountability and transparency in performance. Ensures revenue cycle data quality monitoring and related training. Monitors work unit compliance with internal controls and develops remediation plans to address identified control weaknesses. Establishes implements and maintains a formalized review process for compliance including a formal audit process. Monitors financial targets for Discharged Not Final Billed (DNFB for clinics and LPG clinical quality Work Queues to meet Accounts Receivable expectations. Provides direction and strategies for a quality coding program to meet regulatory compliance data quality for all indicators with a goal of 95% and financial expectations for DNFB for clinics and clinical quality Work Queues. Promotes effective planning and coordination of services with physicians other departments and outside agencies. Ensures all activities support established quality standards and are in compliance with various regulatory agencies meeting or exceeding quality standards through management of continuous quality improvement processes. Ensures effective customer relations between hospital departments physicians and the community. Serves as a role model to staff by continuously demonstrating Lifespan�s values and principles. Creates and maintains effective positive customer service relationships by identifying customers and their needs ensuring needs are met or exceeded and responding appropriately to difficult interactions. Ensures compliance to promote employee-manager effectiveness and satisfaction in the workplace. Creates employee ownership for their careers and success and provides staff with positive and actionable feedback to maximize the utilization and potential of the organization�s human resources. Collaborates with human resource development staff to identify needs and recommend programs to provide for continued development of staff. Participates in or leads various committees task forces and quality improvement teams as needed. Other information: QUALIFICATIONS-EDUCATION: Bachelor�s Degree in Health Information Management or its equivalent. CPC and RHIA or RHIT credential desired. QUALIFICATIONS-EXPERIENCE: 10 years or more progressively responsible management experience in the revenue cycle or finance. Track record of performing diagnostic-related group coding preferably in an operationally complex multi-facility Academic healthcare environment. Experience should demonstrate a high level of knowledge in ICD-10 CM/PCS and CPT-4 coding methodologies effective written and oral communication skills effective leadership/management skills and familiarity with automated systems commitment to continuous quality improvement.
