Job Title: Code Enforcement Office Administrative Assistant

Location: City of Ellsworth, Maine

Reports To: Code Enforcement Officer

Job Summary:

The City of Ellsworth Code Enforcement Office seeks a community and team-oriented candidate to fill the position of Administrative Assistant. The Administrative Assistant will serve as the first point of contact for the Code Enforcement Office and will assist with scheduling inspections, greeting customers, performing clerical duties, and issuing permits. The ideal candidate will be motivated to learn and develop new skills and seek continued professional development. Certification in the Maine Unified Building and Energy Code (MUBEC) is required within one year of hire.

Key Responsibilities:

  • Answer phone calls and greet customers who come into the office.

  • Schedule appointments and inspections for the Code Office.

  • Issue permits for contractors and property owners.

  • Learn the City's Ordinances and MUBEC Codes to eventually pass Code Enforcement certification exams to process permits with the option to become a Deputy Code Officer.

Qualifications:

  • High school diploma or equivalent degree.

  • Strong understanding of how to use computer programs such as Microsoft Word, Outlook, Excel.

  • Ability to learn and understand permitting software used in the Code Office.

  • Willingness to work as a team and complete group goals.

Skills:

  • Knowledge of how to use office equipment, especially scanners and copiers.

  • Able to work with the team to complete projects.

  • Willing to take notes and write meeting minutes.

  • Maintain professionalism in high stress situations.

Salary:

$40,000, plus $.50/hour raises per Code Officer certification achieved. The City of Ellsworth offers a comprehensive benefits package designed to support employees in both their professional and personal lives.
