Non-Smoking

This is complex, advanced and responsible clerical support and staff assistance activity. This work involves handling Code Enforcement Board and Special Magistrate functions and ensuring daily operations of the Code Enforcement Board.

Work is performed under general supervision of the Code Enforcement Coordinator. Perform related work as required.

Essential Job Duties

The following duties are normal for this position. The omission of specific statements of duties does not exclude them from the classification if the work is similar, related, or a logical assignment for this classification. Other duties may be required and assigned.

  • Performs complex administrative tasks and participates directly in the work of the individual involved. Secure details of specialized information, coordinate office work and provide information regarding services and operation of the Division

  • Provides administrative assistance to the Code Enforcement Coordinator and completes special projects and tasks as assigned

  • Confers, meets with, and corresponds with other Departments,to address Code Enforcement concerns on a City-wide basis. Is responsible for developing processes to ensure that concerns are tracked and are resolved in a timely manner.

  • Responsible for the overall division records maintenance under Code Enforcement policies and procedures and applicable State Statute.

  • Conduct title searches and manage property records, including brief legal secretarial work, ensuring accurate documentation and compliance with municipal code regulations.

  • Perform research and analysis of public records and court documentation. Interpret legal notices and property ownership records.

  • Interpret and analyze property site plans, construction blueprints, property surveys and recorded easements.

  • Prepares forms and reports using normal office equipment and resources; maintains computer system by entering and updating information as needed; set up and maintain files and scans documents associated with Code Enforcement Board files.

  • Review forms, correspondence, spreadsheets, letters, and other general office documents for accuracy and completeness prior to submission.

  • Serves as liaison to the Code Enforcement Board and the Special Magistrate. Schedules, attends, and coordinates monthly meetings with Code Enforcement Board and Special Magistrate. Prepares minutes, Drafts Code Enforcement Board Orders, and Special Magistrate Orders.

  • Posting of payment for Code Enforcement Board fines, Civil Violations, and Special Magistrate fines and liens. Prepare estoppel letters, liens, releases of liens and satisfaction of liens.

  • Performs all functions and responsibilities according to the, Palm Beach County Code of Ethics and Florida State Statutes 112.313.

  • Fosters positive employee relations and employee morale on a City-wide basis.

Minimum Qualifications

  • High School graduation or possession of an acceptable equivalency diploma.

  • Two years of related experience involving secretarial/clerical duties including the operation of a PC, Keyboard, mouse or similar data entry equipment.

  • Must possess superb typing skills with speed and accuracy.

Knowledge of Business English, spelling and punctuation, in order to prepare documents and compose letters, etc. Knowledge of office practices and procedures.

Knowledge of mathematics. Knowledge of the division and City's policies and procedures and practices. Ability to work independently and to adhere to established policies and procedures.

Ability to establish and maintain effective working relationships with employees and the general public. Ability to take and transcribe dictation and or minutes as required. Ability to operate a PC, Keyboard or Computer.

Ability to communicate using speaking, hearing and visual skills. Skill in policy interpretation and application. Physical condition commensurate with demands of the position.

Ability to communicate effectively in oral and written form. Ability to adapt to an evolving and continually improving environment.

A comparable combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this position, may be substituted for the minimum qualifications.

The employee must occasionally lift and/or move up to 15 lbs. Specific vision abilities required by this job include close vision and the ability to adjust focus. Ability to sit at a desk and view a display screen for extended periods of time.

Ability to enter data at prescribed rate of speed. Work inside an office environment
