The COBRA Department Support Specialist provides administrative support to the COBRA Department. The COBRA Support specialist will successfully complete the COBRA certification course with an 85% or better accuracy.

The incumbent is expected to communicate professionally with peers, supervisors, subordinates, vendors, customers, and the public, and to be respectful and courteous in the conduct of this position.


Essential job functions include the following. Other functions may be assigned as business conditions change.
1.Reviews COBRA Packets for completion and prepares for mailing.
2.Prepares daily certificate of mailing list for all outgoing COBRA mail.
3.Scans and electronically files all department documents.
4.Records NR (non-response) in LuminX including running weekly report and noting the "NR" in participant remark in LX.
5.Processes return mail; updates addresses, resends mail; or if no forwarding address, update system notes and/or Chronolog and shred COBRA packet
6.Prepares and provides monthly audit reports for COBRA dashboard preparation to Department Manager.
7.Provides COBRA enrollment/eligibility documents for participants in large claims situations, as requested by the Administrative Procedures Manager or Stop Loss Coordinator .
8.Copies and distributes SPD and plan amendments to all active COBRA participants of applicable groups, as provided by the Administrative Procedures Manager/Department members.
9.Key operator for department Xerox fax/printer/copier. Places service calls, changes copy cartridge, etc.
10. Coordinates archival of files at year end, prepares new files for new year.
11. Tracks COBRA supplies and order replacement supplies as needed.
12. Occasional phone work (answering calls, forwarding messages, etc.)
13. Assisting COBRA Specialists with additional projects as determined by Department Manager.
14. Contributes to the daily workflow with regular and punctual attendance.

Minimum Education: High school graduation or GED required.

Certification(s) Required: Pre employment - None. Must complete COBRA Certification of Administrative Skills within first 6 months of employment.

Minimum Experience: A minimum of one consecutive years of responsible secretarial or administrative support experience required. Familiarity with group health benefits preferred.

Other Qualifications:

Oral and written communication skills required.

PC skills, including Windows, Word, Excel, preferred. Ability to learn all functions of the enrollment processing software as is necessary for data entry assignments. Must be able to adapt to software changes as they occur.

Typing ability of 40 wpm net, preferred.

Excellent listening skills.

High level of interpersonal skills to work effectively with others.

Ability to organize and recall large amounts of detailed information.

Ability to project a professional image and positive attitude in any work environment.

Ability to comply with privacy and confidentiality standards.

VIEW JOBS 3/5/2019 12:00:00 AM 2019-06-03T00:00 Temporary Recruitment/Staff Vacancy Announcement The School of Extended and Lifelong Learning (SELL) invites applications for a Temporary Computer Support Specialist II to provide advanced technical support for software associated with several enterprise level applications associated with the Learning Management System at the University of Montana. This position will be responsible for responding to user needs in the form of issue resolution and technical training and assist with SELL website maintenance as required. This position will also assist with security of data records for SELL. Users include SELL administration and staff and UM faculty and students. This position reports to the Director of Instructional Design and Technology Support for UMOnline. This position monitors and troubleshoots online course delivery and other areas of technological responsibilities; helps assess changing technology needs for UMOnline; participates on the UMOnline operations committees and collaborates, as needed, with the campus IT staff; assists in implementation of LMS functions and design settings; investigates Moodle functionality and enhancements and implements as directed; assists with the installation of publisher content and course cartridges where appropriate; develop procedures for evaluating upgrades to Moodle; develops schedule for maintenance of Blackboard Collaborate in collaboration with UMOnline Director and Technical Lead, and implements on a regular basis; develops technical support materials and system documentation; develops and troubleshoots databases as needed; co-coordinates awareness of existing and new technical issues and presents to the UMOnline team at regular weekly meetings. This position supports SELL in maintaining hardware and software on computers and provides backup technical support for events as necessary; maintains current SELL websites; and becomes the SELL expert on the use of the University's web CMS; works with IT web services team accordingly. This position also assists the Director and Instructional Designers with data searches related to UMOnline; provides reports as directed related to UMOnline courses, programs, supplements, students, and instructors; and explores new technologies related to LMS integration in collaboration with the lead LMS administrator and UMOnline team. This position serves as an informational and service contact for UMOnline; works in collaboration with instructional designers, help-desk, and Director; and may develop and support relationships with faculty related to the Moodle LMS as assigned by the Director. This position also serves as a member of UMOnline and SELL team by actively participating in staff meetings; participates in new initiatives to advance the mission of UMOnline and SELL; and works with independence and initiative to see work through to effective completion. This position serves as a team member in the UMOnline Technical Support group, addressing student and faculty technical issues; assists in the training of student workers; help assess the effectiveness of the Learning Management System; assists with course shell creation and user account management; responds to Moodle user and course access issues; and may be required to develop faculty and student training and support materials and conduct technical training sessions as required.
