Primary Function

This position is responsible for providing clerical Medical Secretary support and assisting the physicians with clinical procedures. This role functions as the primary link between the patient and the practice. In addition, serves as liaison between the practice and outside support services.


  • Coordinates schedules with professional staff and schedules appointments. Registers patients, verifying insurance coverage and appropriate referrals, answers telephone and directs calls appropriately.

  • Prepare each patients medical record per office protocol (i.e., lab reports, allergies and other correspondence.)

  • Prepare patients for examination, assisting elderly residents with gowning and seating as appropriate.

  • Performs CLIA waived tests as instructed by physician including: phlebotomy, Electrocardiograms, glucometer tests and spirometry.

  • Maintain treatment rooms and clinical equipment. Maintain clinical inventory and order supplies as needed.

  • Obtain and record blood pressure, height, weight, pulse, respirations, vision screening, and temperature as needed.

  • Prepare and administer vaccinations as needed

  • Float to other CNEMG locations as needed.

  • Perform all duties as assigned.

Job Qualifications and Specifications

Vocational/Technical training and/or a minimum of six months job-related experience or equivalent is required. Strong Medical Secretary background. Ability to format, proofread letters and possess good communication skills.

Physical Environment

The job is typically required to perform work through eye/hand/foot coordination most of a normal working day.

Duties and Responsibilities * Ensure the achievement of NCQA, ACO, Meaningful Use quality measures and other clinical quality improvement initiatives * Promote continuous quality improvement in patient services and practice workflow * Manages and coordinates all aspects of patient registration, scheduling, insurance verification and reception * Tracks access to care * Ensures compliance with standard, Coastal Medical, OSHA and HIPAA policies and requirements * Establishes and implements short and long range organizational goals, objectives, policies and operating procedures * Monitors and evaluates operational effectiveness and implements changes required for improvement * Oversees the supervision of personnel including: work allocation, training and problem resolution * Evaluates performance and makes recommendations for personnel actions; motivates employees to achieve peak productivity and performance * Recruiting, interviewing and hiring new staff * Develops procedures and trains staff on new policies * Develops and monitors office budgets, monitors resource utilization and initiates purchase requests * Performs miscellaneous job related duties as assigned Education and Experience * Bachelors Degree required * 3 – 5 years of Office Manager experience in a medical setting * Equivalent combination of education and experience directly related to the duties and responsibilities specified may be accepted Knowledge and Skills * Skills in examining and re-engineering operations and procedures, formulating policy and developing and implementing new strategies and procedures * Knowledge of professional clinical intake assessment and patient triage protocols and procedures * Previous experience in the healthcare field * Strong interpersonal and communication skills * Exceptional technical skills including experience with Microsoft Office products and an electronic health record * Ability to foster a cooperative work environment and resolve conflict when necessary * Knowledge of staff hiring procedures * Ability to supervise and train employees including organizing, prioritizing and scheduling work assignments * Ability to communicate effectively both orally and in writing * Employee development and performance management skills * Skilled in organizing resources and establishing priorities * Knowledge of budgeting cost estimating and fiscal management principles and procedures * Ability to develop and maintain record keeping systems and procedures * Ability to foster a team approach Coastal Medical East Greenwich RI
