Interacts with other members of the team as required, in support of the customers. The Service Coordinator is responsible for accurate and timely data input with creating and receiving purchase orders for parts inventory and with creating and completing purchase order for outside vendor support. Assist with inventory control. This person reports to Maintenance Field Manager or assigned Service Manager.
Essential Duties & Responsibilities:
* Coordinate PO requests from field by phone or email with creating purchase orders and notify location or vendor with a return email.
* Properly identify and order necessary replacement parts, special order parts, lube/oil supplies, shop supplies where applicable.
* Responsible for entering local and field invoices (i.e. inventory parts / vendors repair)
* Scan invoice and attach to purchase order in TMT.
* Responsible for sending Non FEC Invoices to Maintenance Invoice Management daily.
* Assist ensuring parts are charged on field repair orders.
* Process Maintenance Invoice Management weekly FEC statement of invoices.
* Direct customer inquiries to various support departments, providing timely and professional customer service support on issues.
* Where applicable scan and attach equipment PM sheets to repair orders.
* Where applicable parts inventory - cycle counts, coordinate part returns.
* Where applicable - parts are put away and labeled.
* Follows all safety procedures in performing work as well as company policies and any other safety procedures necessary.
* Exhibit the ability to work in a team and also to show initiative and self-direction
* Report all accidents, injuries, safety violations and unsafe working conditions immediately.
Requirements:
* High school diploma or tech school graduate or college graduate
* Computer knowledge including Microsoft Office (Word, Excel, Gmail and PowerPoint), Maintenance software programs.
* At least 1 year of experience in Customer Service with issues resolution experience
* Detail oriented with excellent follow-up practices
* Strong verbal and written communication skills
* Capable of multi-tasking, highly organized, with excellent time management skills.
* Flexibility to operate and self-driven to excel in a fast-paced environment.
* Ability to create and maintain professional relationships within all levels of the organization (peers, work groups, customers, supervisors).
* Ability to work independently and as a member of a team.
* Must be willing and able to frequently push, pull, kneel, bend and reach
* Must be able to use safe handling/lifting procedures to move parts/product

* Be capable of becoming certified to operate MHE equipment

* Maintains positive and encouraging working relations with all drivers
* Provides constant communications of service issues to appropriate personnel and departments, both internal (NFI) and external (Customer)
* Performs load planning, driver scheduling, and dispatch duties using both Dedicated Fleet and Common Carrier resources.
* Coordinates daily data entry into NFI's proprietary order-management- system,TMW.
* Coordinates with home-office invoicing team to ensure timely and accurate completion of weekly customer invoices
* Ensures accurate and timely completion of daily and weekly tasks
* Provides weekly KPI/performance data reports to both internal and external parties
* Coordinates daily on scheduling truck and trailer maintenance.
* Works with safety department on DriveCam, driver compliance and HOS issues
* Assists Project Manager with implementing NFI's Safety, Security and Labor policies
* Assists and provides coverage throughout departments during vacations, holidays if necessary
* Manages and maintains driver payroll
* Audits and approves driver expense reports
* Provides assistance to Project Manager wherever needed
Requirements:
* Minimum 2-3 years experience in logistics and/or transportation
* Computer applications experience including MS Office and TMW strongly desired
* Excellent customer service, problem solving, communication and decision making skills
* Excellent oral and written communication skills; bi-lingual a plus
* Ability to work efficiently and multitask
* Must be able to work morning/afternoon shift
