Seeking entry-level clinical research administrative assistant to assist with participant registration and scheduling support for the All of Us Research program in the General Clinical Research Unit of Boston Medical Center. Spanish fluency required.

Seeking entry-level clinical research administrative assistant to assist with participant registration and scheduling support for the All of Us Research program in the General Clinical Research Unit of Boston Medical Center. Spanish fluency required.

Responsibilities

  • Participant front-desk appointment registration

  • Communicating (phone/email) visit status updates with research staff

  • Processing participant appointment payments and troubleshooting payment inquiries

  • Answering phone line

  • Participant appointment related phone calls (scheduling, appointment reminders, missed visit follow up)

  • Assisting participants who are unable to find clinic location

  • Ordering, tracking, and disseminating reimbursement debit cards to study staff

  • Document participant inquiries, concerns, complaints and escalate to Operations Coordinators and Managers, as needed.

  • Assisting research team as needed for appointment related support

Required

  • Bachelor's degree and 1-2 years of administrative work experience or high school diploma and 5 years of administrative work experience

  • Proficient computer skills using Microsoft Office and Excel required

  • Experience using electronic data reporting tools and EPIC preferred

  • Strong problem solving, interpersonal, organizational, as well as attention to detail are required

  • Strong oral and written communication skills required

  • Ability to assess, prioritize, and process multiple priorities in a fast paced work setting

  • Spanish fluency required

All of Us Research Program Description:

The All of Us Research Program is a national research program with the goal of building a diverse cohort of one million U.S. volunteers. The Program will widely represent the U.S. population with participants from different socioeconomic backgrounds, ancestral backgrounds, health conditions, and certain environmental and geographical factors. All samples and data will be stored in a secure database and provide researchers with baseline data, biospecimens, healthcare records, survey data, wearable device information and genetic results. The Research Program will support research in various areas including pharmacogenetics, precision medicine, prediction and prevention to advance treatments of diseases.

Essential Responsibilities: * Assesses potential patients' eligibility for inclusion in a particular protocol based on contracts with physicians and nurses and knowledge of the protocol. Recruits and enrolls patients onto clinical trials according to study protocols. * Checks all eligibility and ineligibility criteria with patients' medical record. Verifies information with clinical research nurse and/or principal investigator. * Discusses informed consent with patients. Documents any adverse events that occur. Interacts with patients prior to entering the study and throughout the entire treatment. Assists with scheduling appointments and follow up tests. * Monitors strict adherence to protocols by physicians, nurses and patients. Reviews protocol requirements with physicians, nurses and fellows. Identifies problems with protocol compliance and works with research nurse and principal investigator to make corrections. * Extracts data on protocol patients from hospital records, outpatient charts and private physician office records in order to complete case report form required by specific protocols. Required Qualifications: * Bachelor's degree required. Master's degree preferred. * 1-3 years related work experience required. * Bachelors degree and one year experience in a medical setting and/or clinical research or a Master's Degree. * Knowledge of Medical Terminology. * Working knowledge of computerized data required including word processing, spreadsheets and databases. * Experience with computer systems required, including web based applications and some Microsoft Office applications which may include Outlook, Word, Excel, PowerPoint or Access. Competencies: * Written Communications: Ability to communicate clearly and effectively in written English with internal and external customers. * Oral Communications: Ability to comprehend and converse in English to communicate effectively with medical center staff, patients, families and external customers. * Knowledge: Ability to demonstrate full working knowledge of standard concepts, practices, procedures and policies with the ability to use them in varied situations. * Team Work: Ability to work collaboratively in small teams to improve the operations of immediate work group by offering ideas, identifying issues, and respecting team members. * Customer Service: Ability to provide a high level of customer service to patients, visitors, staff and external customers in a professional, service-oriented, respectful manner using skills in active listening and problem solving.
