Position Summary:

The Research Regulatory Coordinator serves as a key staff member for the regulatory activities of research studies throughout the clinical research life cycle. This individual serves as a subject-matter expert to the research team on issues related to Humans Subjects Protection and Good Clinical Practice. The individual who holds this position exemplifies the Rush mission, vision and values and acts in accordance with Rush policies and procedures.

Position Responsibilities:

  • Serves as the primary regulatory contact for all University Neurosurgery protocols.

  • Completes electronic submissions of the coverage analysis, IRB application, contract, etc. into the Rush Research Portal (RRP).

  • Monitors the status of electronic submissions in the RRP.

  • Maintains the regulatory binders / files and ensures appropriate version control is in place.

  • Writes and prepares regulatory submissions for new project applications, consent forms, drug and device data sheets etc.

  • Coordinates submissions to ancillary committees such as Radiation Safety and Institutional Biosafety. Obtains approvals and subsequent requisitions from ancillary departments (radiology, lab, etc.) as needed.

  • Communicates with the IRB and Sponsor on behalf of the study team regarding regulatory management.

  • Monitors email and Sponsor websites to ensure that regulatory documents are up to date and implemented in a timely fashion.

  • Communicates with the study team to ensure awareness of protocol changes and process revisions.

  • Collaborates with the study team and Sponsors to finalize documents based on IRB recommendations.

  • Tracks study team certifications (NIHSS, mRS, etc.) and notifies team members when re-certification is needed.

  • Prepares and submits study amendments and continuing review applications for IRB review.

Prepares reports related to regulatory status for team meetings.

  • Ensures timely review and reporting of Unanticipated Problems.

  • Prepares regulatory files for auditing and monitoring visits. If any regulatory action items generated, responds in a timely manner.

  • Updates databases for reporting requirements.

  • May serve as a protocol coordinator, when needed.

  • Performs additional duties as assigned.

Position Qualifications:

  • Bachelor's degree required; Bachelor's degree in Health Sciences preferred.

  • Must have at least 3 years of clinical research experience.

  • Must demonstrate proficiency with the Code of Federal Regulations pertaining to Human Subject Protections, including 45CFR46, 21CFR50 and 56, Good Clinical Practice, the Declaration of Helsinki, the Belmont Report, and HIPAA.

  • Requires a commitment to customer service and the ability to work effectively and collaboratively in a complex academic environment.

  • Requires excellent verbal and written communication skills with a wide range of individuals in a cross-functional environment.

  • Must be able to work independently with minimal supervision.

  • Successful candidates must demonstrate proficiency with the Microsoft Office Suite.

Responsibilities 1.Conducts study start-up activities and prepares and maintains regulatory documents required by sponsors and/or regulatory agencies. 2.Prepares protocols, informed consent documents, modifications, renewals and other necessary documents for review by the IRB and/or sponsor. 3.Coordinates study conduct with other departments to effectively implement clinical research projects; obtains required letters of support and/or approvals as needed (i.e. IBC, CRU, etc.) and protocol is followed. 4.Identifies and recruits eligible study subjects; conducts informed consent/assent process. 5.Arranges and conducts clinical research visits. 6.Conducts site qualifications, study initiation, monitoring and/or close-out visits. 7.Attends investigator meetings. 8.Abstracts data from medical records and enters medical information/data onto protocol specific case report forms, study flow sheets, and other required study forms; prepares abstracted/coded data for processing/analysis. 9.Creates and/or updates case report forms and/or source document templates. 10.Coordinates reimbursement of subjects. 11.Maintains inventory of supplies/equipment. 12.Prepares lab kits and requisitions prior to visits. 13.Collects and processes specimens from subjects and/or works with Research lab to ensure samples are processed/sent out correctly. 14.Records data on source documents and CRF's and/or electronic web based systems.15.Conducts literature searches and assists with QA/QC procedures.16.Monitors/assesses adverse events with the principal investigator and reports them as required. 17.Adheres to research protocol in compliance with applicable institutional, local and federal regulations (OHRP, FDA, GCP, etc.). 18.Functions as patient liaison for study questions, billing issues, etc. 19.Maintains all study documents (regulatory binders, source documents, correspondence, etc.).20.Promotes the ethical conduct of research by actively participating in research related educationalmeetings/conferences (planning, presenting, etc.).21.Performs job functions adhering to service principles with customer service focus of innovation,service excellence and teamwork to provide the highest quality care and service to our patients.22.QA/QC checks for database validity and data monitoring.23.Tracking deadlines for grants/deliverables.
