The Department of Medicine (DOM) has an outstanding opportunity for a Temporary (Project position, 100% FTE) Clinical Practice Track Appointee on our Academic HR team.

The Department of Medicine is the largest department in the School of Medicine with over 4500 staff, faculty, trainees and students and an annual budget of approximately $500,000,000 consisting of patient care revenue, sponsored research funds, endowments and gifts, state funds and affiliated hospital funding associated with the academic programs within the department. The department is made up of eleven subspecialties divisions: Allergy and Infectious Diseases; Cardiology; Gastroenterology; General Internal Medicine; Gerontology & Geriatric Medicine; Hematology-Oncology; Medical Genetics; Metabolism, Endocrinology and Nutrition; Nephrology; Pulmonary, Critical Care and Sleep Medicine; and Rheumatology. These divisions occupy space at multiple sites including University of Washington Medical Center (UWMC), Harborview Medical Center (HMC), Veterans Administration Puget Sound Health Care System (VAPSHCS), Bloodworks NW, Fred Hutch, and other locations in the Seattle area.

The Clinical Practice Track Appointee will independently provide administrative expert-level support to the academic human resources teams in the department of medicine and within one of DOM's divisions: General Internal Medicine. This position will be expected to exercise independent judgement and discretion in the rollout and implementation of a new faculty track in the department. This project position serves as a key driver of the implementation of a new faculty track, which will include overseeing the processing of appointment packets for up to 150 faculty to move them to a new title. In this capacity, the individual serving in this position will use project management skills to identify and implement processes to organize, track, review, and assemble appointment packets for this new track. On behalf of the Division Head and Chair, they will draft letters for the appointment packets, partner to facilitate faculty voting processes, and work to execute the transition on a firm timeline.

This position requires a high degree of personal initiative, ability to problem-solve independently and maintain organization, strong communication skills and strong computer competency and writing skills. The Clinical Practice Track Appointee will work with the AHR teams in the Department and in the Division of General Internal Medicine to implement a new faculty track in support of the Department's mission. This position must be able to manage competing priorities and to independently and effectively prioritize the varied needs and requirements for the implementation of this track to a hard deadline.

This position will be responsible for ensuring compliance with School and University policies, procedures and timelines in regards to academic human resources and is critical to the operation and coordination of the overall department, and to the teaching and research missions of the School and the University. This position impacts the University of Washington's standing as an academic center of excellence.

DUTIES & RESPONSIBILITIES

50% - Faculty Track Implementation and Transition Management

  • Department of Medicine AHR group
  • Direct and manage faculty appointments for up to 150 faculty for the new Clinical Practice track.

  • Serve as project manager for the transitioning of 150 faculty moving over to the Clinical Practice track by December 31, 2024. Project management includes:

o Establishing and maintaining processes for the transition of 150 faculty.

o Create project plans (i.e. roadmaps, timelines, scope, milestones, etc.) to structure and standardize timelines, faculty votes, and distribution of workload across the Academic HR team with awareness of other priorities and deadlines.

o Recommends revisions and process improvements as circumstances warrant during the transition cycle.

  • Review required materials and prepare them for distribution: including drafting and reviewing offer letters, reviewing CVs, and drafting letters on behalf of the Department Chair. Ensure compliance and timeliness of appointment requirements.

  • Work with AHR team to facilitate departmental faculty voting processes for these appointments.

  • Partner with AHR Specialist on all paid clinical faculty appointments, promotions, etc.

  • Serve as back-up reviewer for all paid clinical, volunteer clinical, affiliate faculty, and teaching associate appointments by reviewing offer letters, appointment packets, and promotion packets as needed.

50% - Faculty Track Implementation and Transition Management

  • Division of General Internal Medicine AHR group
  • Communicate directly with faculty and lead efforts to assemble up to 75 appointment packets for the clinical practice track "search waiver" period. Includes soliciting and reviewing faculty CVs, drafting offer letters, drafting letters on behalf of the Department Head, and completing compensation documents. Ensuring timeliness and compliance with the Faculty Code.

  • Work with the GIM AHR team to facilitate divisional faculty voting processes for these appointments.

  • Oversee, organize, monitor, and distribute workflow among GIM AHR team to minimize impact to faculty, division staff and DOM AHR group. Adjusting for any issues or deviations.

  • Oversee the transition for all faculty who meet criteria for the search waiver by the established deadline.

MINIMUM QUALIFICATIONS

Bachelors Degree in Business, Education, Communications, Library Sciences or similar field and at least 1 year of related experience.
