Planned Parenthood Northern California (PPNorCal) is seeking a Clinical Operations Coordinator for our Concord Administrative Office. This role is full-time, 40 hours per week. SUMMARY

The Clinical Operations Coordinator provides program coordination and project management support of initiatives for the Clinical Operations Department.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Supports Clinical Operational improvement initiatives and projects, (example: Team Centered Patient Care).

  • Create and updates initiative roll out schedules, including sending calendar invites for health center staff meetings, leadership checks ins, implementations, and revisits.

  • In collaboration with Senior Center Director creates agenda for special project core team and leads weekly check ins.

  • Prepare and deliver presentations to senior leadership, management, health center staff and stakeholders.

  • Track data to monitor impact of changes (overtime reports, cycle times, encounter volume, etc.)

  • Creates tools for the implementation of initiatives or projects.

  • Responsible for writing monthly initiatives or projects Hot Flash update.

  • Traveling as part of the initiatives or projects core team, making observations, and helping with implementation in each location.

  • Responsible for creating a report/summary after each health center the initiatives or projects team visits summarizing changes made, and future recommendations.

  • Organize all workflows related to initiatives or projects and responsible for maintaining clear documentation of all tools, PowerPoints and visual aids used at each location.

  • Serves as knowledge resource for other departments within affiliate as needed.

  • In coordination with the Clinical Operations leadership team, makes time-sensitive and critical decisions when faced with health center requests.

  • Supports organizational change management strategies. These responsibilities include planning and anticipating efforts to maximize change integration and continued buy-in from staff and stakeholders impacted by the changes.

  • Assists with the identification of project goals, objectives, and creates project plans that outlines the tasks, timelines, and resources required

  • Proactively communicates with project team and stakeholders, risks and issues, and monitors progress to ensure that project stays on track.

  • Assisting with change management duties and revisits to ensure changes remain viable and impactful.

  • Interacts with internal and external customers, partners, and contacts disseminating appropriate information, handling inquiries, and resolving concerns.

  • Schedules, plans, and attends meetings, including coordination and distribution of agendas; catering; compilation and distribution of minutes; arranging for equipment and other materials; and creating surveys for post-event feedback as applicable.

  • Runs errands to include picking up or delivering supplies, materials, documents to health centers or other agencies.

  • Solicits and records feedback regarding Clinical Operations initiatives and meetings.

  • Organizes and maintains file system and files correspondence and other records appropriately.

  • Actively participates in the advancement of PPNorCal's Diversity, Equity, and Inclusion commitment.

QUALIFICATIONS

EDUCATION and/or EXPERIENCE

High school diploma or general education degree (GED) required. A degree or equivalent from two-year college or technical school preferred; two to three years related administrative experience and/or training preferred; or equivalent combination of education and experience. Experience in project management required.

LANGUAGE SKILLS

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to draft routine reports and correspondence. Ability to speak effectively before groups of customers or employees of the organization.

MATHEMATICAL SKILLS

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

REASONING SKILLS

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

COMPUTER SKILLS

To perform this job successfully, an individual must be proficient in Microsoft Office Suite (Outlook, Word, Excel, and Power Point); Internet Explorer and Microsoft Edge internet software; proficiency in Microsoft SharePoint and Adobe Acrobat Professional or other graphics software a plus.

CERTIFICATES, LICENSES, REGISTRATIONS

Must have reliable automobile transportation, a valid California Driver's License and automobile insurance.

  • Ability to establish and maintain databases and keep complex records and files.

Pay Range: Planned Parenthood Northern California (PPNorCal) supports California's new law (SB 1162) enhancing pay transparency. This new law requires employers with 15 or more employees to include a pay range in job postings. The pay range reflects the compensation that a new employee can expect to receive if offered employment. Employees with more experience, education, and other qualifying factors may be compensated at a higher rate of pay. The pay range for this position is: $27.15 - $32.45 per hour.
