Job Summary:

The Clinical Coordinator I reports to the Director of Clinical Services and is a certified Medical Assistant (MA) employed by Erlanger Health System. The Clinical Coordinator I has a primary responsibility for oversight of all Medical Assistants, and serves in a lead Medical Assistant capacity in an Erlanger-owned physician practice.

This position oversees the various clinical and patient flow activities of the physician office, including maintaining proper scheduling requirement. In addition, this position provides direct and indirect patient care under to support practice physicians.

Other position functions include:

Assists in handling patient complaints and corrections needed to patient clinical accounts.

Effectively communicates goals, standards, and expectations among clinical staff members.

Meets goals related to both, quality and productivity.

Continually reviews workflows and processes to meet targets for completion of proper coding.

Develops, implements, and monitors: procedures, guidelines, and related plans.

Collaborates with and provides suggestions to physicians and clinical staff on coding and documentation guidelines, and other revenue-cycle needs.

Supervises all patient flow functions

Serves as lead OSHA representative.

Responsible for maintaining Joint Commission compliance standards in all clinical areas, including completely quarterly auditing reports

Works with Manager and/or Director in establishment of yearly clinical budgets

Responsible for financial and cost effective management and stocking of clinical supplies, medications, and equipment

Maintains appropriate charge levels for patient evaluation encounters, outpatient procedures, injections, administration fees and medical supply charges

Supports other general practice operations in collaboration with leadership

Prepares examining rooms and stocks room with supplies.

Works collaboratively with provider to assists in providing care to patients:

Collect patient's history.

Prepares patient and necessary equipment/supplies for visit.

Supervises the documentation of all interventions, patient/family responses, medication either dispensed or prescribed, vital signs, etc. in patient chart and/or computer system.

Administers medicines, draws blood, etc. as directed.

Obtains approval for and phones in prescriptions as directed.

Completes lab slips and referral forms as directed.

With focus on customer service, takes telephone messages from patients, returns messages, and provides information to others as requested/directed. Ensures all conversations by telephone, fax, email, etc. are properly documented by medical staff.

May schedule patient appointments as directed.

The employee must be certified and able to demonstrate the knowledge and skills necessary to provide clinical care appropriate to the age of the patients served in his/her clinic. The individual must demonstrate knowledge of the principles of growth and development over the life span.

This position is involved in a team-based approach to care. Team members are trained to meet the highest level of function for their role as per the State of Tennessee/Georgia guidelines.

Is trained and assigned (as per their role and responsibilities) to coordinate care for patients and is trained and assigned to support patients/families/caregivers in self-management, self-efficacy and behavior change. Is trained and assigned (as per their role and responsibilities) to manage the practices' patient population. Participates in the practice's quality improvement process and performance evaluation.

Education:

Required:

High School diploma/equivalent. Completion of an accredited (or in process of accreditation within 2 years) Medical Assistant Program or completion of a governed Medical Assistant program or completed equivalent military training. or one year of Clinical Medical Assistant experience within last 5 years.

Bachelor's Degree

Experience:

Required:

Minimum three years experience in a physician office setting. Previous computer experience.

Preferred: Two years supervisory experience.

Required:

Medical Assistant Certification. BLS completed prior to going to unit/department and maintained go forward.

Knowledge, Skills, and Abilities:

Knowledge of health care field.

Knowledge of specific assisting tasks.

Knowledge of information that must be conveyed to patients and families.

Knowledge of policies and procedures related to infection control, environmental safety, and patient confidentiality.

Knowledge of medical chart reporting/records.

Knowledge of medical terminology.

Knowledge of basic life support procedures.

Knowledge of grammar, spelling, and punctuation.

Knowledge of Windows-based software applications such as MS Word and Excel.

Skills in performing assistance tasks appropriately.

Skill in tact and diplomacy in interpersonal interactions.

Skills in understanding patient education needs by effectively sharing information with patients and families.

Skill in handling paperwork/filing adequately.

Skill in written and verbal communication.

Ability to establish and maintain effective working relationships with staff, patients, public, and external agencies.

Ability to read, understand, write, and follow oral and written information.
