SUMMARY

Assists physicians in delivery of the highest standards of patient care by ensuring appropriate staffing and quality of care. Maximizes efficiency and productivity within technical services across all locations.

Determines most effective allocation of technical staff. Serves as a department representative for the practice.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Ensures appropriate technical staffing for physicians and doctors of optometry at all clinic locations including but not limited to hiring, orientation and performance evaluation, training, coaching and counseling of all technical staff.

  • Supervises the technical staff of the Section of Ophthalmology to include hiring, scheduling/leave approval, and evaluation. Maintains appropriate staffing levels

  • Coaches, manages and develops technical staff to improve skills and knowledge. Encourages professionalism and continued education leading to higher levels of certification

  • Considered to be the initial go-to person in the event of a patient or physician complaint. Handles the situation or requests assistance from Administration.

  • Coordinates weekly schedules.

  • Ensures adherence to quality of care standards; fosters a culture of superior patient care.

  • Serves as liaison between physicians, management team and technicians; conducts regular team meetings to ensure effective communication.

  • Identifies problem areas and bottlenecks within technical service areas by studying time stamps, schedules and benchmarks.

  • Monitors hours worked and technical staff utilization and advises regarding ability to more cost effectively allocate resources.

  • Fully understands the various technician roles: ancillary testing, all technician skills, EHR documentation.

  • Fully understands electronic medical records and is able to train staff on updates, new meaningful use requirements, and innovate operational efficiencies.

  • Knowledge of all equipment and surgical supplies utilized within clinic operations. Consistently uses that knowledge to reduce costs, ensure patient safety and create efficiency. Works with biomedical engineering staff to troubleshoot equipment failures and repairs.

  • Provides input on design and patient workflows at current and future offices. Makes recommendations for redesigning technical support roles as appropriate.

  • Collaborates with other members of management, especially those within clinic operations, to fully support and fulfill Practice initiatives.

  • Ensures proper coding technique is used, i.e. proper linking of diagnosis to procedure and documenting patient chief complaint.

  • Supervises coding by technical staff to ensure accuracy and completeness.

  • Keeps current with changes in reimbursement regulations and guidelines. Participates in communication and distribution of up to date coding information to clinical staff.

  • Technical staff liaison interface with coding coordinators. Provides input on staff coding competencies and identifies areas of training needs and professional development opportunities.

  • Supports coding function in clinical setting. Increases educational level of staff to optimize reimbursement. May provide coaching and training sessions.

  • Other duties as assigned.

SUPERVISORY RESPONSIBILITY

Responsible for the overall direction, coordination and evaluation of department. Carries out supervisory responsibilities in accordance with CVPs policies and applicable laws. Includes, but not limited to, budgeting, hiring, performance reviews, employee development, approving timecards, plans, assigns and directs work, pay recommendations, coaching, counseling, and discipline, addresses issues and concerns, facilitates conflict resolution, models CVP's code of conduct and mission commitments at all times.

DIRECT REPORTS

Incumbent is responsible for providing supervision and leadership to staff in the following job titles.

  • Ophthalmic Assistants, Technicians, Ophthalmic Photographers, Testing Personnel, Surgical Coordinator, Study Personnel

EDUCATION AND/OR EXPERIENCE

  • Bachelors degree (BA/BS) from four-year college or university or equivalent experience.

  • COA, COT or COMT certification required within 2 years of service.

  • At least three years or more of previous management/lead experience strongly preferred.

CERTIFICATES, LICENSES, REGISTRATIONS

  • IJCAHPO Core Certification

Location: Work takes place in a normal office/clinical environment.

Travel to other CVP locations may be necessary to fulfill essential duties and responsibilities of the job. Thus, those needing to travel for work must have access to dependable transportation, and driving record must meet company liability carrier standards.

Exposure: Works in normal office environment during normal business hours.

May be exposed to blood or bodily fluids. May also be exposed to various cleaning supplies.

Equipment: Regularly uses Ophthalmic equipment/devices per sub-specialty requirement such as keratometer; phoropter; visual acuity measuring/B-VAT; ultrasound unit; specular microscopy unit; corneal topography unit; retinoscope; slit lamp microscope, telephone, computer, fax, printer and copier.

Other equipment may be used as needed. Must be able to work with precise tools and equipment; must have dexterity to use these items correctly and safely. Personal Protective Equipment (PPE) follows standard precautions using personal protective equipment.

Will also use a computer, fax, copier, printer, scanner and telephone. Must have good working knowledge of Word, Excel and Access.
